First of all.
Congrats for the job. (though late)
I have joined as Sourcing and Induction Executive at an IT service provider company 4-5 months back.
Though i wont be able to give you exact solution to you problem. However, i think this might help.
But first i would like to know what all work you need to handle.
If at present you are not handling recruiting, then do the other work by prioritizing the task which need to be finished first, then move further.
If you have recruitment to handle first recruit for those which you are finding no time to devote.
Do let me know what all task you need to handle.

Thanks for your reply.
At present I am doing works related to the job portals: posting a job on the site, screening the cv's, shortlisting the candidates according to the requirement, calling the candidates for the interview, arranging the interview shedule, handling employee needs and grievances,the formalities related to new joinees, there i-card,etc.I am also doing many activities related to Admin.
At present the situation is such that I need to do whatever my manager tells me to do. My role is not defined properly. What can I do further so that my role as that of an HR executive gets clear.
Pls help. :(

Hi sweta,

a) arrange the data on your computer. - 1) recruitment 2) Admin 3) handling queries.

b) Under Recruitment make database (Excel sheet) all candidates included

the attributes being:- sr.no, name, purpose for recruitment, contact number, address, email, reference, contacted/not, response, interview scheduled (date), appeared/not (if not then when next/why), result of interview (1st round,2nd round etc), joining date, salary fixed. [etc etc..as per your requiements]

c) Under Admin: again a database for i-card

sr.no, name, contact details, address, email, designation, joining date, issued on [etc etc as per your requirement]

d) Under handling queries:-

(1)post job on site as soon as you receive it,

(2)make list/database of enquies yet to be posted or for those you got reply and what reply you got from whom.

(3)note in same database when you got enquery/when it got closed/who gave you.

e) attend calls if possible/else make excuse and mail them.

f) schedule interviews in advance 2-3 days, give reminder a day before and tell them to tell you if they are not coming.

rest these are most important.

take lunch/food on time, eat/drink/refresh, keep on sipping water, take rest after lunch then work/go for walk after lunch/go out in fresh air. [i do it daily inspite of anything]



Try this and see what happens..

the main idea is to get organised.first

tell me what happened and how did the things go.

Hi Tony, very rightly said. It is also a matter of culture. HR is expected to bring and build appropriate culture to suit business growth. The canvass of HR is much larger than what we are generally exposed to. In MNCs HR people are exposed to some what larger platform in comparison with national companies. Again the HR education imparted in institutions is not at all upto the mark than what is needed by industries. Since knowledge itself is limited, the effect of it seen in HR exposures and implementations.
