Dear Seniors,
Hope you all are sailing in the pink of your health,i need your help as i am stuck in a small problem, i need to draft a policy for misuse/overuse or you can say excess consumption of coffee at our office,The staff here is consumping too much of coffee for n number of times,which is again disturbing the monthly budget.If any body of you is willing to help me in this situation and give your valuable suggestions i would be really very great ful to you and welcome all your comments for the same.
I ll be eagerly waitng for your reply you can also send it on my email id i.e .

if you are using a vending machine in the office, you can give instruction to your pantry boy to lock the machine after a particular time. Say may be you can lock the machine from 12:00 noon to 3:00pm.

Hi,
We also faced the same problem in our office. This is how we dealt with it:
* Strictly instruct the pantry boys to provide coffee at the employee desk only twice in a day. Lock/ switch OFF the vending machine for the rest of the day.
* OR Allow employees only one hour in the morning and one hour in the evening for Tea Break. Lock the machine for the rest of the day.
* Dont get coffee powder for a month and distribute tea bags instead tea ll the employees (1 or 2 for a day). Order milk powder for the vending machine. They will prepare their own tea. Now this will serve 2 purpose: a) Paucity of time/ time required to make a tea may avoid employees to have more than 2 tea in day.
b) Cost of coffee to tea will be reduced.

I'm totally against restricting use of coffee at workplace, we are not here to decide whether it's excessive or not. Let employees use these basic facilities at workplace, no restrictions please.
If companies are unable to bear even coffee expense of employees, I'm damm sure one day they are going to inform you that they are unable to bear employees salary as well. So beware of such restrictions, as they only indicate a danger zone ahead.

Dear All,
Any company can implement these ideas for cost - cutting.. But sometime employees argue that we are not able to work without coffee or tea.. we need it more than 2 times a day.. after all it affects on company work. What should do in this situation??? We are already suffering from this situation.
Please guide us.

Dear Uma,
Please confirm, is excessive consumption of coffee hampers the work or productivity of the staff ?? If yes, then you need to restrict to 1-2 cups a day.
Otherwise, please dont restrict the staff from having coffee...

this will taken as a small gap..
U can just modify the policy of giving Coffee at free of cost.. to 60 -40 .... tell them to pay 40%of its cost and u ll pay another 60%...And u can now serve them with any another snackes with coffee in a alternative days...So they will accept the policy..

It is also a matter of health. Excess consumption of anything is bad. You may want to advise employees if you feel they are excessively depending on it, otherwise its okay, after all its coffee. 2 - 3 cups a day is okay. More than that I guess people will land up with a bad stomach.
If you approach it as a cost issue - it will really be looked down upon. And it is not really much of a cost. There may be people in the company playing and cheating with lakhs and crores, and most of the employers look at such small costs that should not be a huge issue.
See another method of cost reduction - maybe a different brand or try negotiating with a dealer who may be able to give you extra beans at a good price. :-)

I completly agree with Mr Ashutosh Mishra the HR manager at LNT

I was working at a corporate company and we faced the same problem over here.in the initial phase me being the Hr manager was asked to control on a lot of stuff like consumption of coffee,use of stationary,consumption of bislery water in office andso on and later the company wanted to cut on salaries and also asked employee who's salary was above 20K per month to leave the organisation in one days notice.

I feel that what ever may be the situation there are employee who need to refresh themselves and hence they have some tea or cofee at regular intervals as it helps them to be alert and have a better focus to their work

Hence i would not be in favour of drafting any policy on this mater as the worst scenario is that u may loose some assets(good employee) from your company.(This is a true example)

A solution to this problem would be a mailer as an alert to all employee requesting them to try and have some control on their coffee consumption
