    I am working as an Executive Secretary to the HR Director in a company in Saudi Arabia with a staff of 530 employees. I am responsible for preparing the monthly HR report which includes the following:

    1. Headcount (FTE & temporary)
    2. Recruitment (number of recruits, their departments, and other relevant details)
    3. Training (both in-house and external)
    4. Company visitors (visitors from external areas with visa details)
    5. Number of employees on vacation
    6. Sick leave days and the number of staff on sick leave
    7. Number of employees on probation

    Developing a weekly report for an organization requires a big HR department. I worked for an organization with more than 900 employees; therefore, they had to have a weekly HR report which contained the following information:

    Recruitment:
    - Number of employees recruited and the status of the budgeted positions, including how many budgeted positions are yet to be filled.

    Attendance Report:
    - Absenteeism frequency
    - Sick leave frequency

    Overtime & Shifts

    Training & Development:
    • In-House Training: How many training programs have been run during the week, including mandates.
    • Overseas Training: How many employees have been nominated for overseas training.
    • Expenditure on In-House Training compared to the budgeted amount.
    • Expenditure on Overseas training compared to the budget.
    • Progress report on employees nominated for academic training and the expenditure against the budget.

    Employee Benefits:
    - Number of employees nominated for promotions and budget constraints based on quarterly performance appraisals.

    Quality Health & Safety (QHS):
    - Health & safety incident reports in the department.

    Management Decisions:
    - Latest management decisions concerning Human Resources issues.

    Departments Weekly Meeting Findings:
    - Critical issues raised by HR that require addressing by the management discussed in the HR weekly meeting.
