Dear All,

I am a newly joined HR Executive, and this is the first time I am organizing a one-day event (Annual Day Celebrations) at a Resort this Saturday, 27th Apr '13. It is very challenging for me.

Attendees: Directors and Employees with family
Number of attendees: 150
Timings: 9 AM to 9 PM

Kindly suggest good team energizing activities along with team-building games and fun activities that everyone should participate in.

Please provide suggestions on how to plan the complete day, from welcoming to saying thank you.

Kindly share your experiences and ideas.

Dear Aneetha,

Request you to note that you are inviting the employees along with families; hence, it will be difficult to organize team-building activities, etc. Team-building activity for employees needs to be planned separately, where you are required to call only employees (outbound training, etc.).

In this function, plan the Director/MD's address to the gathering starting with welcoming followed by thanking for the support extended by the families in the company's growth, etc.

Any recognition/reward, if there will be a better option because receiving such rewards in front of their spouse/children will be a highly motivating factor, and it will work like anything in productivity improvement.

Plan more fun activities/games for spouses and children - arrange a small common gift for children/spouses so that they will remember the event for long.

As kids will be there, you need to be very careful about the security and safety part/plan a bit more food because in general, this is going to be an issue in most of the get-togethers.

Identify potential employees/form teams and leave the execution part to them only so that more involvement will be there. Plan some small gifts for the team members so that the satisfaction levels will be high.

It is better to organize transport instead of employees coming on their own; if company transport is arranged, then plan and distribute some small toys (noise-making)/biscuits/chocolates on the bus itself.

These are some of the critical points that came to my mind, and I await some more inputs from our other friends.

Dear Aneetha,

There are many ideas contributed on Annual Day. You can find it; what will suit you the best is what we need to refine. I second Kamesh; identify the environment. Find out what would be easy to organize and widely accepted. Sports and cultural events with a prize distribution are what most of us do. However, please include a demo session to explain the families about the work that is done. You can use theatre to arrange a short skit or a role play to explain what is done at work. Put pictures and flow charts that can be understood by any layman, about the work being processed.
