I am in my starting phase of HR Professional. I want to know from my seniors over here what are the formalities to be done on the part of an HR department when an individual resigns from an organization, like FULL AND Final, written resignation from the employee himself.
Like FNF, RESIGN WRITTEN BY EMPLOYEE. Basically, what are the documents of utmost importance to safeguard the interests of an organization regarding an employee's resignation.

First of all, please implement an Exit Interview policy with an Exit Interview form attached.
You need to provide a Resignation Acceptance Letter either via email or physically, a Relieving cum Experience Letter, the last 3 months' salary slips. Additionally, you need to conduct an Exit Interview. Before conducting the interview, the employee has to fill out the exit form (usually on the last day in the company). Before the employee leaves the company, you need to recover all documents, systems (laptop, mobile, SIM card, etc., if provided), ID card, etc.

Sir, thank you for your valuable feedback. I am really thankful for the same. Alongside the exit interview, what other documents are needed? For example, a resignation letter written by the employee themselves and full and final settlement. I am asking this: what if an employee refuses to resign in case of a conflict? Why do we ask an employee to resign? It is because we want to ensure that they do not take any legal action against the organization in the future. We obtain a full and final receipt to prevent any potential claims for outstanding dues.
On these lines, I am inquiring about the necessary documents to protect the organization's interests in terms of industrial relations, ensuring no conflicts arise when an employee resigns. And if conflicts do occur, we are prepared to have an advantage.

Why does the company want an employee to resign? If it's due to any disciplinary action, ask the employee to resign. If the employee is not resigning, then terminate based on their actions (should be substantial to prevent any future actions by the employee).
Before termination, ensure that the management has provided enough opportunities for the employee to present their side and follow the steps below:
1) Oral warning
2) Written memo
3) Disciplinary warning or probation
4) Suspension
5) Termination
If an employee is involved in any physical, mental, or sexual harassment, you may terminate the employee immediately.
When terminating an employee, you do not need to provide any documents other than the termination letter. However, they are eligible for PF withdrawal (if applicable).
