Dear all,

I would like to seek your thoughts and suggestions on the possible ways of conducting an exit interview for an employee during this lockdown period, wherein the employee is working from home and so is HR (myself). Are there any specific policies regarding this matter? Although the exit interview and form filling can be done remotely through the internet, the challenge lies in the withdrawal of company assets such as laptops and ID cards.

Please provide your inputs or suggestions at the earliest. Thank you.

First thing is to try and tell the employee to defer his exit until the lockdown is over. As far as the assets of the company are concerned, the employee is also equally responsible for returning items before the final exit. You will have to obtain written clearance from the team manager of the employee stating that nothing is pending and that any intellectual property is safeguarded. Exit interviews can be conducted over the phone or internet. Conditional clearance can be given if higher management agrees since company assets are still with the employee. It would be best if another employee staying nearby could take over the company ID and laptop, ensuring physical distancing and safety precautions are observed. I am confident that the employee will understand if his exit is deferred until the lockdown is officially lifted.

Managers' clearance and intellectual property are manageable and under control. Withholding of F&F until company assets are recovered/received is one area I am considering. Equally important is allowing the fellow employee nearby to collect any assets temporarily.
