Hi All,

I have recently joined a software company with 165 employees as Sr. HR. This is totally a new profile for me. I'm confident in handling this department. My company is intending to go for ISO certification. Can someone help me with ISO documentation for HR (formats/guidelines/process flow, etc.)? I have found most of the posts/information very useful on this site.

Dear Beena,

As an internal and lead auditor of my company for ISO 14001, OHSAS 18001, and TS 16949, the following are the documents required:

ISO 14001

1) Water Testing certificates
2) Water Meter readings
3) Pollution Control Board License
4) Sewage water license and readings
5) Certificate for handling of Hazardous wastes / Chemicals
6) LPG usage license
7) State Electricity board certificate

OHSAS 18001

1) Safety audits NCR Reports
2) Accident register
3) Accident details monitoring
4) Near Miss Investigation Analysis
5) LPG water sprinkler working
6) Safety of machines and workers / staff
7) Assembly point to be recognized
8) Mock drills reports
9) Identification of machines
10) Fire safety training documents
11) Fire Extinguishers maintenance and audit report
12) Safety Committee meeting reports

TS 16949 / ISO 9001

1) Competency Mapping documents
2) Training records (number of trainings conducted, manhours & periodical review)
3) Factory License
4) ESI & PF returns challan
5) Regular maintenance of canteen and office building (form to be maintained)
6) Other Statutory requirements
7) Linkage of training needs identified from PMS and Competency Mapping
and Training conducted
8) Training feedback forms and its analysis

Do you want documentation only for the HR process or for all processes? For HR processes, the documents required are as follows:

- Training Procedure
- HR Recruitment Procedure

It may be an added advantage if both are put together in an HR Manual. If your organization has an HR manual, please go through it thoroughly. Check if your organization has an Organization chart; if yes, obtain the latest revision and file it. For each position in the Organization chart, prepare the responsibilities and authorities. For each responsibility and authority, determine the competencies required for that particular position.

Prepare individual employee files based on the competency requirements. Map each employee's competency level (skill level) as per the competency requirements. Identify any gaps between the requirements and the actual skills of the employees. If there are gaps, create a training needs identification report and align it with the training plan. Develop a training calendar, maintain training records, and keep records of training evaluations and retraining needs.
