I would like to improve certain policies which would benefit our employees such as appraisal forms, leave policy, grading system, training, employee engagement calendars, and employee referral programs policy. I am new and would like to learn more to help the current organization grow. Please share your valuable inputs.

Dear Colleague,

Changing or modifying existing policies is always good to keep dynamic and move with the present needs. However, it has to be done with a deeper understanding and purpose.

My suggestion for any change in policy is to be attempted in the following ways:

- First, list all prevailing policies and create an Excel format with all key provisions and facts, etc.

Prioritize the policies based on the purpose of each policy:

- Prioritize the policies that are very important/critical for business support - Category A.
- Group the Category B policies as employee welfare policies and those involving cost.
- Group the Category C policies as administrative control.

Then assign a ranking to each policy that needs to be changed/reviewed/modified. If you have a total of 50 policies, focus on the first 10 policies that urgently need attention and will have a high impact on your value addition to people, processes, business, profit, branding, etc.

Next, form a Task Group (not exceeding 5 members) from the users, involving more internal stakeholders in any policy changes.

- Take one policy at a time, discuss the required changes, evaluate each suggestion, and incorporate all good ideas. Draft the revised policy and present it to all Heads of Departments and a select group of around 20 hand-picked members representing various functions and demographics. Invite their suggestions.

- Once you have a finalized policy, make it public within your company and seek feedback. After that, seek Management Approval.

- Put the policy on probation for 6 months during which, based on its impact, the policy may be withdrawn or further modified.

- Proceed to the next policy and repeat the process.

Kindly appoint a project manager to lead these changes, which, in my view, will take at least a year if you want to make them truly meaningful. Avoid hurrying as it may only be in letter and not in spirit. This advice is based on my personal experiences in the past. All the best, and it is a worthwhile endeavor.
