Hi,
do we require any letter to be given when an employee is going somewhere out of country for a business trip for client meetings
can some one please help me with a format and points to covered in this letter.

Hi,

Primarily Overseas Mediclaim Policy is very important. Depend on the stay period validity to be there.

Visa validity

Traveler's Passport expiry date - whether sufficient period is there or not

Forex card loaded with US Dollars based on duration of travel.

Layover time for transit flights. If layover time for transit flight is very less then it would be issue for the traveler.

Vaccination status of the Traveler with vaccination certificate copies.

Anything particular like Traveler should have got vaccinated before 17 hrs of arrival at the Country. These are recent requirements in the light of covid.

International roaming activation for the Traveler.

Ensure that Traveler carry his/her regular medicines like BP/ Cholesterol/ headache tablets.


The above are key points. Added to the above the Traveler should carry the address of accommodation organized by Employer / contact details of person who is going to pickup at the arrival point etc.

Also advise Traveler to carry basic grocery items if stay period is more than one month.
