It is advisable to obtain dummy bills for travel expenses and entertainment of business associates, with the amount varying based on the employees' grade.
The company will provide a fixed amount after conducting a thorough survey of all aspects related to the business trip and associated costs. Whether employees stay in a five-star hotel or a lodge does not matter to the company. If not, all arrangements should be made by the company without involving the employees.
Consider these aspects and make decisions in accordance with company rules and regulations. Develop policies that align with your company's environment and the nature of its business.

At the outset, you need to define the need, objective, and scope of the same. Furthermore, you should divide the countries/cities based on the cost of living into two or three categories. Accordingly, define the daily allowance, which may range from USD 750 per day to USD 200. This allowance should cover all expenses such as lodging and boarding. If it is a sponsored trip, you can provide for 50% to 25% of the actual daily allowance. Local conveyance, visa charges, air tickets, and medical insurance need to be defined at actual costs. For higher officials, an entertainment allowance could be added.
In addition, you can include a clause for contingency expenses, subject to the submission of bills, to meet any unforeseen expenses.
