Please share the business nature of your organization and other details. You can add more details like travel kit requisitions, some extra reimbursement during international traveling, extra reimbursements for more than 15 days of continuous stay on-site, bags, blazer, and other travel-related items after every three to five years with a lump sum amount. What if an employee stays at a relative's home instead of a hotel, then a different package? What is the reimbursement timeframe with details on how many days your company will reimburse the claim? What if there is no bill? What if the client was there with the employee? What if the place requires an overnight journey, and a senior is asking for flights only? What if a train or bus is not available for junior staff and they need a flight due to an emergency? For how many days does a travel request come to the help desk to avoid higher train/flight charges? What is the approval authorities matrix? Authorization in the absence of the first line? Any tie-ups with hotels/resorts? And many more... Include everything in the policy.
Prepare an FAQ for every policy so it can be like an answer book. Many company policy booklets are more like question books than answer books, so prepare an FAQ to avoid confusion.
You can add many more things depending on the future planning of your company. Take previous ratios into account to represent how much burden the company will have with the new policy.
