Hello everyone, How to write a warning letter for not coming on time to office and lots of absenteeism due to which work is suffering a lot.

Dear Rohini,

Please draft the warning letter on your own and upload it here. Some seniors like me will correct it. When drafting a warning letter, include the following:

a) Exact instances of late coming. Include details like the date, actual reporting time, and at what time the employee reported.

b) Exact instances of unauthorized absence.

Lastly, write that if the late-coming or unauthorized absence continues, then severe disciplinary action will be taken.

By the way, have you tried finding out why the employee reports late or why there is unauthorized absence? What is the length of service of this person? Is this person under probation?

He has completed his 3 months in our company. After a verbal warning, he has the same excuse that he is coming from very far, which is the reason he gets late. We suggested for him to relocate here, but he is not ready for that either. Due to this, work suffers a lot.

Various types of establishments maintain different sets of protocols for latecomers. Some have biometric attendance, and some have registers at the entrance. Also, as a disciplinary measure, many organizations have made the attendance timing rules similar to those followed by schools. For instance, anyone who arrives after the attendance entry is marked as absent in the first half, and thus, two incidents result in one day being marked as absent. Now, it is up to the management to decide to what extent they can enforce and relax these rules. However, the practice should be uniform for all employees and not target anyone specifically.

Dear Rohini,

If the employee has just completed three months, then he must be under probation. Therefore, removal from the job will not be that difficult. Anyway, issue him a warning letter and state clearly that his punctuality will be monitored closely. If the misconduct recurs, severe disciplinary action will be taken. Watch his performance until 31st Jan 2020, and if it does not improve, then tell him to submit a letter of resignation. Pay him his dues as per the attendance and close the matter.
