I have recently joined a startup company associated with blockchain and started working as an HR Executive in Kolkata. This is the first time I am working in an HR Generalist role and hence consider myself a fresher. Could you please guide me regarding where to start and what areas I need to take care of being the only HR in a startup company?

Moreover, could you please help me in:

1. Formulating the company policies.
2. Providing guidance on enrolling my company for PF, ESIC, PTax.
3. Identifying the documents I need to maintain on a monthly basis, enrolling employees for PF, ESIC, and PTax, and generating challans for the same.
4. Creating a profile on various job portals like Naukri, Monster, etc., and searching for resumes accordingly.
5. Developing KPIs for specific job positions.
6. Conducting Performance Appraisals, including the necessary forms or modules required.
7. Advising on Employee Engagement activities.
8. Managing exit formalities and the required forms and processes to follow.
9. Defining my role in training and development as an HR and how to conduct it.
10. Motivating employees and conducting meetings if they are not performing well.

Let me try to help you with a few points:

3. Documents for PF for new joiners include PF Form no. 2 (declaration and nomination form), PF Form no.11 (Self Declaration Form for new joiners taking up employment and covered for PF), Gratuity Form F (nomination form). Other documents required for challans can be better explained by senior members.

4. You can contact the Naukri.com team for a demo; they also organize Naukri Training sessions where you can quickly learn basics such as how to post jobs, send mass mails, and search for specific candidates.

7. Employment engagement activities: Every morning, you can write on the whiteboard a "Thought of the Day" or corporate messages if a whiteboard is available. In-house games during lunch breaks like playing cards, board games, or drum sharas can help the team play and enjoy together. Once a month, take the team out for lunch or a movie. Send birthday emails along with celebrations for employees and order a cake. During festive seasons like Holi or Diwali, seek permission from senior management to decorate the office floor.

8. When an employee is leaving, it's important to first understand the reason behind it. While the employee may cite personal reasons, it is the HR's role to act as a friend and counsel the resigning employee. Exit forms are available online. Ensure to record the joining date, resignation date, last working date as per the notice period, and available leaves, and have this information ready for the finance/accounts department.
