I would like to write a formal letter to all employees regarding the support staff. In Delhi, it's very hot during the months of May and June. The temperature has already risen to 39°C. Employees keep sending the house boys outside repeatedly to fetch them breakfast, lunch, biscuits, chips, and more.
Although it has been announced that they will go out only three times – once for breakfast, once for lunch, and once for evening snacks – the staff seems unconcerned about the frequency of these trips in such hot weather. After returning from lunch, someone inevitably remembers they need curd, roti, vegetables, or something else. How can I prevent this situation?

1. An office boy is an employee of the company tasked with office work as per his job description; he is not the personal servant of any employee(s).
2. He is not obligated to please other employees by providing personal services.
3. There should be clear and strict instructions from his supervisor that he is not to run errands for any employee, including senior bosses. He should be clearly informed that if he is absent from the office due to personal tasks, he will be marked as absent.
4. If he runs errands for senior employees, juniors may take advantage; therefore, clear guidelines should be provided to the office boy.
5. If he begins to refuse tasks, the staff may start harassing him by making various accusations, so proceed carefully and step by step.

Office boys are the most vulnerable set of employees. Refusal to obey an employee can lead to a problem. Therefore, a strong message needs to be sent not to misuse them for personal jobs.
Tell the guard at the gate to log in and out the office boy as and when he goes during working hours. Issue a circular to all departments about the duties of office boys and a request not to misuse the facility of the office boy in suitable, diplomatic, but clear language. Subsequently, corrective actions can be taken if the directive/circular is violated.
