Hi,

I joined a mid-sized cement production company. After my joining, my boss left the organization just after his probation, and the whole responsibility of all HR matters shifted to me. I am an Assistant Manager HR with experience in basic HR tasks. My first task is to complete the annual appraisals for about 1200 employees, including workers, executives, and senior management. I don't have prior experience, so please guide me on how to accomplish this task before 30th June.

Rashed, do you have any 'Performance Appraisal Process' already in place? If so, how many different types of Appraisal Forms are in use? Yours must be a mix of Executive Class (white-collar employees) & Workers (Blue-collar employees). What are their numbers in each category?

My suggestions are as follows:

1. For your 200 white-collar employees, use the default version of EmpXtrack Performance Appraisal and refine it over the years with your experience. The Appraisal Forms are ready; you just have to share data about the reporting channels (Employee -> Manager (i.e., Appraiser) -> Next Senior Manager (Reviewer)). The system can be made ready for a trial for a sample of about 20 employees. Data about the remaining employees can be loaded later. As for the cost estimates, information is available on the EmpXtrack website.

2. For the workers' category (Blue Collar), the reporting is usually done by the Floor Supervisor for a set of workers (say, 20 - 30) placed directly under his control. You can prepare an Excel Sheet with a list of common qualities and skills (total number not exceeding 10) on which each worker is to be rated on a scale of 1 to 5 (1 being the lowest). Define what each level on the scale means and put that information also on the Excel sheet. Give one sheet to each Supervisor with names of all the subordinates and ask them to rate all their subordinates on one Excel Sheet each. Let them sign and submit to their Floor Managers, who may only rank the top 10 employees amongst all the employees (say 200) rated by 8 different Supervisors reporting to one Floor Manager. You will be able to complete this task in the available time.
