I am working as a Manager in one of the leading construction companies. Many of our employees have taken houses within our own company, but they have failed to make the payment despite several reminders. I need a professional letter that requests the immediate payment of current dues, without causing any offense.
Can anybody help me with this? It's urgent.

You have asked for help, but there needs to be a little more clarity on the situation. When the company hires accommodation for the employees, we make an agreement with the landlord. Now, when we allot the same accommodation to the company employees, we make one more internal agreement with the employee. Have you made that internal agreement? If yes, what are the terms and conditions of the allotment of such housing? When were they supposed to make the payment? Secondly, if employees need to pay something to the company, then why are deductions not made through their monthly salary?
Unless you clarify these issues, it will not be possible to draft the letter.

Thank you for the reply. It's not about the company's accommodation. The employees have purchased a new flat in one of our ongoing projects and according to the schedule, they need to pay some amount. As it's a new project, the registration is yet to be done, but a certain amount is to be paid as a booking confirmation.

1. This is to inform you that you have expressed your desire to book a flat for our company's upcoming project named _____ (name of the project). You wished to book flat _____ (mention the type of flat like deluxe, luxury, etc.).
2. We had notified earlier that the booking of the flat is subject to the payment of registration fees. For the type of flat you have booked, the registration fee is Rs ______ (Rupees _________). We have not received this amount to date. Probably you are aware that this amount is refundable/non-refundable.
3. You are hereby informed to pay the registration amount by _____ (date). If payment is not received by this date, your booking will be treated as null and void, and the administration of ______ (name of your company) will throw open registration of the booked flat to the customers.
4. This letter pertains to the registration amount only, and the terms and conditions of the payment for the entire amount of the flat would be worked out separately.
5. Please acknowledge receipt of this letter on the duplicate copy.
