Dear Nirosha,

Before we provide suggestions, please confirm who will be appraised by whom. Is this for internal communication or external purposes? Why do you want to send the appraisal report with a covering letter?

A reply to your query can be provided once the above information is received.

Thanks,
Dinesh Divekar

Thank you.

Yours sincerely is the most commonly accepted standard ending of a formal letter. Why are you wishing to change that? What are the circumstances under which the standard ending is not sounding right?

Appraisal letters, being letters in nature, do not require another covering letter; it is a waste of stationery. An appraisal letter can encompass, among other things, the past performance of the employee, whether it met, exceeded, or fell below targets, and how their people-related skills were assessed.

The next paragraph discusses how the employee has been evaluated numerically, in case your organization adopts the Bell Curve for force-fitting. The third and final paragraph should include positive and motivating words to encourage the person to perform better in the coming year and wish them all the best from the management in their efforts.

Close the letter simply with "With Best Wishes." This is more than enough.
