Hi HR fraternity,
I m a new joinee in a trading company in oman.I do not have previous generalist HR experience.Here,they have asked me in setting up a proper HR division(practices) for the company.The company have around 150 employees and in the present system the employee files,leave handling etc are done manually,the payroll being handled by the finance dept.We wish to organise the employee files and related HR practices(from joining formalities till employee leaving the organisation) so that a one point access can be done,thus time saving the time.Please provide me a framework on how to proceed regarding this and examples regarding the areas to be covered and sufficient spreadsheets.
Kindly guide me regarding this,

to strat with you need to know the functions of the company,what rules and regulations are they following, take a brief note on rules, and then sepaerate it from the accounts department as it is not conern with the hr field.
then prepare the following forms like:
1.employee file for each employee(full upto date info like employee data form,employee checklist,pf,offer letter,confirmation letter,payroll,attendance sheet,etc)
2.always keep the file updated manually as well as a soft copy
3.make the rules and regulation book(employee handbook) for employees to have a clear picture of what a hr department deals with and the company norms.
4.then as and when required update the rules and regulations.

First of all, get a clear idea about what is the HR policy of your organisation. If there is nothing such, create a comprehensive HR Manual in line with the organisational objectives and regional legal requirements, and bring it into force with immediate effect. You can get help from Govt web sites, other local professional bodies etc...

Hi Lakshmi,

From my experience of working in Oman for the last 1.5 years for a fairly large company there, HR also consists of a lot of Admin related work. People there prefer to call it the "Admin & HR" department, instead of just the "HR" Department.

For e.g. in most of the Middle East countries, there is a large amount of Admin work - like managing Passports, Visas, Resident Card of employees, Family Members, visit visas, Medical Certificates, Road Permits, etc.
If your company is providing Housing, then that is again a fairly large amount of data that you need to collect and collate. Who is staying where, when the lease is expiring, etc.

It would be a good idea to invest in a software that will help you to manage and effectively delivery all these services to your clients. This would also bring in a structure to the work as most of the work that needs to be done would be part of the software. It will enable the education process also.

Managing all this with a lot of Excel files are going to become very cumbersome, time-consuming and also increase the chances of errors.

I know of companies that have benefited from bringing in automation to help them. In case you are interested please write to me at . I will pass on the relevant information to you.

Politics are part and parcel of evey organisation..u cant avoid it...just face it with a cool head..because the moment u lose your temper...u lost. I belive you are just beginning your career..so work hard to learn whatever experiences come in ur way..let politics takes its course....If you cant close the requirements then there is something wrong with the process u undertake...talk to your superior and discuss about the process you are following ...

Yes...it is worth giving a thought in considering a software...it has complete automated steps, procedures, reports etc.. and these softwares are made considering the business standards in ME...
