It is better to transcript the salary calculation procedure (what you tell them orally to make them understand) in a paper in neat and very understandable manner. Pin them in all notice boards and access points. I feel it is not good everytime to call the employees to leave their work and come for a chat session (it feel to me like call the pupils under banayan tree whenever you like because you are a manager (an cultured way to underestimate and abuse the general intelligence of human being) ). Please do not get frustrate and accept this fact that the communication process of your company are not much smooth. (PEOPLE FAIL TO UNDERSTAND WHY THIS HAPPENED TO MY SALARYSLIP). And whenever this happened and there is a strong will to know, the other end will always go with spinning head.

Hi,
Every month end you can calculate their leave & put it in notice or divide them into smaller groups & circulate it.Leave deductions will clarify 50% of their doubts. Most of them dont keep a track on their leave. This might help them.
You can even prepare a 2 page FAQ's for the most questions asked.Either Circulate or put it in common place.
As other members have sugested you can arrange a session with them.
First Explain the benefits of ESI,PF then about the deductions.
Allot sometime for them daily.Communicate the timings to them.20% of the doubts will be common doubts so that they need not come to you everytime on 1st week only.
This will ease you & also the anxiety of your staff.
Stay cool.Putting everything on track has to be done by every HR.
So solve Queries no worries :p.

Hi,
You can follow some action plans to get over with such issues.
1. During the induction, you can take a separate session on Payroll and other activities. This would make things easy for u later on.
2. You can nominate SPOC's in every department and conduct a session for them. So that if people have issues, they will contact the SPOC for all the queries. However u would need to ensure that employees don't share the figures on the payslip, it would be an integrity issue.

Hi,
Always, If u dont want to get interrupted, put a person btw u and the workers. I mean, If u are not able to explain them to their understanding, explain it to their supervisors. They ll be the better person to explain them bcoz they hv experience in dealing with them for long. So, there are better chances that the workers understand. And ask the workers to get in touch with the supervisors. That ll be a good move.
Bcoz, in mfg industry, workers cannot be called for discussions since production will get affected. Hope this suggestion wud help.

Hello Pratap,
Your Problem :
1. Undertrained/Unskilled/Undereducated staff asking repetitive questions regarding Salary changes or delays.
Solution :
1. Be prepared to talk to them in Marathi/Hindi and rather than them coming to you, you go to them.
2. Prepare a list of "Frequently Asked Questions(FAQs) & Their Answers" and keep it handy.
3. Prepare a sample "Salary Slip" which contains all the heads and explain each head one by one.
4. Arrange a meeting on the shop floor itself and dont give the venue and the setting too much importance. Give them the answers in their own environment because they are more comfortable and less nervous there.
5. By doing so, you will come across as more approachable to the staff and result oriented to the management.
6. Maintain a pleasant tone throughout. Once you are done with your explaination, tell them to hold and remove your list of FAQs and explain them the answers to their PROBABLE questions before they ask any. Once you are done, give them a fixed time for the coming week, say half hour in the morning or evening and ask them to meet you then and discuss if they still have any doubts.

Hi Pratap,
Your situation is pretty common to any HR professional.:huh:
So, instead of getting irritated, if u see things from an employee's point of view, things would be much easier for you.:-P:-P
Following are few steps that you can take to make some progressive changes:
1. Hold a Compensation workshop, preferrablywith line managers, discussing common queries, salary split of each grade/ level etc.
2. Create a PPT. or a word document with FAQs & other important salary related info. Put it in a shared folder or intranet, so that all employees can refer that whenever they have doubt.
3. Salary Help desk - After salary disbursal, announce a specific time window (preferrably few hours each day) solely for salary doubts. This would stream line query addressal & you would not get disturbed all day long.
Hope these suggestions make your life easy.

Hai Pratap
I am UDAY worked for CONCORDE Motors for 1.5 year.I know in what situation u r in now.
But the first thing let them understand salary break up as one of our folk said.
It is better to conduct a small training programme on it.
Dont go for any PPT and all its waste of ur time as well as employees time also.
Just gather them into training hall use black board by speaking in u r local language explain them clearly thats enough.
Let them understand about PF ESI PT etc.....
U need to explain about LOP and Unauthorised absense and its impact on salary etc.
By doing this we can reduce some presure from them.
Really its a big hectic. They even ask quires for the single ruppeee also but we are here to help them only we have to tell.
DOs & DONTs
--> One importent thing dont allow them to ask group quiries.
--> The information required person only should come to your cabin and ask about quiry.
--> Dont allow them to ask questions everywhere in the work shop.
--> They have to ask questions in a specific place and time only.
--> If u loose u r patience no one will be in your control the situation become tooo worst.
I done the same practice and succeded now thay have faith on me.They believed that HR never cheat us.
Hope for the best results
