Hi All, Can anyone please share any document with a list of guidelines and rules which will provide a frame work for working in office/ Work from Home in COVID-19 Circumstances?
We plan to resume our office(ITES) from June 1st 2020. We need to come up with rules and regulations, guidelines which will help for working efficiently and safely in the new COVID-19 circumstances.

Please find below draft guidelines for your reference:

As we are resuming WFO in all branches gradually, sharing below the rules & measures to be taken care/followed and strictly implemented when we start coming to office based on Govt guidelines.

1. Bio Metric devices would be deactivated in all locations for some time.

2. Since Public transport is yet to operate, associates will have to come in their own vehicles.

3. Based on the Telangana Govt guidelines, people are allowed to come out only between 7am to 7pm. Hence, Office hours would be from 8.30 AM to 5PM. For rest of the regions the timings will be as per their Govt guidelines or if no restrictions are in place then it would be our normal timings.

4. If any of associates are suffering with fever, cold, cough and any other symptoms related to COVID -19, they are not supposed to come to office and are recommended to visit the doctor and accordingly maintain self-quarantine and work from home and are requested to inform their department heads.

5. Associates who are already having ailments and are undergoing treatments SHOULD NOT come to office, and they would be allowed to work from Home, after taking proper approvals from their department heads.

6. NO visitors to be allowed to our office until it is really required and is an emergency, all the departments has to encourage to call them and talk to them for any of their requirement.

7. NO team/group meetings to be conducted/arranged. It should be totally discouraged. Individual Conference/Video calls to be encouraged for official discussions.

8. No Official Travel would be encouraged for few months after the lock down is lifted across India

9. All associates need to wear Masks without fail. It is Mandate.

10. All associates need to keep individual sanitizers and keep sanitizing themselves frequently.

11. All associates need to sanitize their work stations by themselves frequently.

12. Admin Department would try to plan to allot work stations to all associates keeping a distance of 4-6 ft away from the other work stations to maintain social distancing.

13. Request all of you to use stair cases and avoid taking lift to reach your office in respective floors.

14. Would be informing Building maintenance team on strict ban on gutka/tobacco and spitting. (This point is applicable in common areas of the building where they are maintained by building maintenance team)

15. We would be displaying list of near-by health care centres, at work areas, as mandate.

16. All associates need to maintain self-hygiene and recommended to avoid outside food and even requested to fill their water bottles and wash their utensils themselves instead relying on HK staff.

17. All associates are recommended not to have team lunch in cafeteria/conference halls/cabins and to avoid team discussions in cafeteria while having Tea/coffee.

18. All associates will be allowed to take their lunch and coffee at their own Work stations, provided they maintain their self-hygiene themselves and avoid spilling the food, spoiling the work station.

19. HK staff will be cleaning the work stations once the lunch is completed once in a day.

20. HK Staff and Security staff will be asked to wear gloves and masks and maintain hygiene.

21. Would be keeping Sanitizer bottles at receptions, Cafeteria etc in all offices across India.

Following are the measures recommended by the government directive for the well-being and safety of persons in office:-
1) Wearing of face cover and glubs are compulsory in all work places and adequate stock of such face covers shall be made available
2) All persons in charge of work places shall ensure social distancing as per the guidelines issued by MHFW both within the workplace and company transport
3) Adequate Gaps between the shifts will be there (approx. 1 hour to sanitize the workplace), lunch breaks will be staggered in such a way so that not more than 20 employees enter the cafetaria
4) Food vendor will remain non-operational in the cafeteria for safety reasons
5) Ready to eat products will be made available taking all precautionary measures through Daalchini vending machine
6) Provision for thermal scanning, hand wash and sanitizer preferably with touch free mechanism will be made at all entry and exit points and common areas.
7) Frequent sanitization of entire workplace, common facilities and all points which come in human contact eg door handles etc shall be ensured, including between shifts
8) Persons above 65 years of age, persons with co-morbidities, pregnant women shall work from home
9) Use of Arogya Setu app shall be made mandatory for all employees
10) Large physical meetings to be avoided.
11) Hospitals/clinics in the nearby areas, which are authorized to treat covid – 19 patients are being identified and list will be available soon at workplace all the time. Employees showing any symptom of COVID-19 will be immediately sent for checkup to such facilities. Quarantine areas will be earmarked for isolating employees showing symptoms till they are safely moved to medical facility.
12) Arrangements for transport facilities shall be ensured with social distancing, whenever personal/public transport is not feasible
13) Intensive communication and training on good hygiene practices shall be taken p.
14) Signage and hoardings will be pasted on all prominent places
