Hi,
i am working in an organisation , My employee is in need of address proof letter to avail loan from the bank, so as per rule I issued him "To whom ever concern " certificate as per the address mentioned in our database, which he has given us during joining date. But his loan got rejected because he stays in an area which is black listed as per the bank policy, so he is looking for help from our end, and was requesting to give address proof letter mentioning his wife address.
Is it possible to issue letter stating his wife address ?

Dear Naveen,

As per policy of the organisation, the address which has submitted by employee and further verified by employer is the prime address of such employee. But if he/she has change the location may replace the existing address to new one. For this employee should have to submitted any of the below document for proof & address:
1. Voter ID card or UID Card mentioning such new address of employee name,
2. Public Sector Bank Account passbook entailing such address,
3. Driving license mentioning employee name, new address,
4. Any Certificates issue by government authorities,
5. Attested letter of gazetted officer on the such authority's letter pad.
6. Passport document in his name mentioning new address.

But if the employee has not submitting any such certificate/document and willing to get services/loan on the wife/spouse address. In this case he is not be entitle to get the service. Wife would be nominee but not the employee so she is not be entitled to get such benefit in name/address of other. So, the employee should need to firstly submit the document in his name mentioning new address.

The company is not competent to the authenticate the address proof. This is the job of govt agencies. There is no logic to issue a certificate in this regard on a company letter head.

Why no logic? When an employee joins in a company and he needs address proof, where he/she will go? Is it easy to get the address proof from Govt bodies??
FYI, many organisations are issuing the certificate based on the employee request mentioning the purpose for which the letter is being issued. they also put a condition of absolving their responsibility arising out of the issuance of such certificates. This practice is prevalent across many orgs.

A company can authenticate the below details for an employee:

1. Employment with company

2. Earnings with company

3. Experiences/Working

4. Legal compliances to be done on behalf of employee

As the there is no role of a company to certify the proof of identity/residence; this is exclusively done by the government agencies to issue:

1. Voter ID card

2. Unique ID

3. Passport

4. Driving license

Some where the electricity bill/telephone bill is recognised as a proof of residence.

Every executive should work by ensuring that the work done through him whether falling within their competencies or not?

This because many organisations e.g.

1. Telecom companies for the mobile/broadband connection

2. Banks for the Loans and account opening

demanding such certificates. They have the easiest option to complete the formalities at the risk of the employer company. How justified to get struck in a query raised in a crime and then give them the explanation. You must remember the crime and the complexity in the use of technology.

Many organisation follow a practice does not means that they are following a sound practice. For any complication you may be held personally liable for the above any case despite the “put a condition of absolving their responsibility arising out of the issuance of such certificates”.

You may help them in completing the formalities with the concerned agencies. Ensure that keep the employee have all the details and surely we must help them but to the extent we are safe and do not incur any known or possible liability.

Do job, good job, safe hassle free job for yourself and for the company.

We never issue such certificate nor suggest to staff to demand us such certificate with us but help them to recognising their experience where ever is genuinely required for the specific purpose.

We believe that they must be convinced about our problems and limitations.

Dear Mr Anurag,
Organizations have full authority to certify the identity/address proof of its employees and the same is accepted as an authentic/valid document by the banks and other institutions including govt. institutions like income tax dept etc.
When you apply for a PASSPORT/PAN CARD, employer's certificate as address is accepted.

How do you open salary account of your employees with the bank?
bank need two documents as address proof, 1.) Permanent Address Proof and 2.) Present Address Proof.
Bank accepts employer certificate as present address proof and not permanent address proof.
Suppose an applicant(for job in yr organization) is outsider and not having any document of present address proof. Does it mean you will not recruit that applicant just because he is not having any document in support of his present address?
Issuing of any document, not only address certificate without proper verification, is like inviting future trouble but issuing certificate after verification to the satisfaction of the employer is nothing wrong.

We are focusing on the certificate of address proof which is issued by the organisation(s); and suggest that this is not a sound practice.

This is OK “If issuing of any document, not only address certificate without proper verification, is like inviting future trouble but issuing certificate after verification to the satisfaction of the employer is nothing wrong”.

But the question is that whether the company is competent to issue an address proof? And surely this is not; despite most of the organisations following the practice to issue this.

This is also true that banks are demanding address proof and the same has alos been referred in my previous reply. But it depends how the offer of opening the salary account was negotiated at the beginning.

We have instructed our banker to correspond with respective employee at their residential address and not at the company address; we can only certify their employment details only. We never provide an undertaking for the present or the permanent address proof at our end.

Usually bank open salary account where they are sure that the average salary upload will be more than 10000.00 in a month and a minimum of certain accounts with an expectation that they might have further businesses with employee primly and may be with the organisation too. Therefore this is their business and our business is to run the business in appropriate manner without overriding our competencies.

Currently bank like ICICI follow PAN for the name convention along with an address proof where the bank will correspond. It also implied that PAN should also be reckoned as the name convention with in the organisation as there is reporting to the IT department for Form 16 therefore the similiarity shall be maintained. We must advise to our staff to see their documents of ID and recify the name /address if it is maintioned wrong over it.

Where the candidate do not have the address proof for the current address may give us a proof later in form for a rent deed which is attested by the notary. It is imprudent to reject or deny to a suitable candidate for sake of the address proof not available for the time being and it would be more serious to issue an address proof on company letter head to such a person.
