Today the ESIC Labour officer visited our office. I am the HR person for my branch.
She has given the inspection date for 17th September 2013.
This would be my first time facing an inspection. Requesting the respected seniors to help me on how to be prepared to face the same.
Of course I would be getting in touch with our HO for support, yet valuable input from this forum would be highly helpful.

Please go through the Point and prepare yourself for Inspection.
1. Make Sure that you have every months ESIC paid challan (Upto July-2013)
2. Make sure that your company maintain ACCIDENT BOOK under regulation of 66 of the employee state insurance (General) Regulation, 1950.
3. Make sure that your company submitted half yearly return in FORM 5 which is certified by the Chartered Accountant.
4. make sure that your each employee have covered under ESIC act and have ESIC number.

Pl note that ESI inspector knows that you will maintain and pay the ESI for staff, they will look at your annual accounts Profit and loss account expenses and you need to reconcile the annual salary as per the annual accounts and your monthly working sheet, also show the cash expenses, maintenance expenses and any professional fees.

Can we get one from legal book shops and make the entries. In most cases of accidents the employees were treated under private hospitals Even then this books must be maintained right?
I spoke to our Finance Person regarding Accounts books. He is saying that we employ labour for many day to day activities and their money is settled through petty cash. ESIC is not paid for them. This could become a problem too.

Note any person employed in the premise of the company ESI needs be paid.
you can explain this to the ESI inspectors they are generally cooperative if you don't hide any infomration and they would ask you to pay the amount now.

Make sure that your employees has been covered ESI nos i.e 15k salary as per ESI Act you should not have the practice of saving co money and 50% ded esi for few employees and remit the payment it should be covered to all as per act
ESI to be deducted on Gross including Over Time.
All relevant documents to be kept ready alongwith monthly challan and return
If you are having branch separate sub code to be received and you have to make the payment to that place
