I am working in Software Testing Company as a HR , as a part of my profile i have to deal with the salary of the employees we have more than 200 employees & most of them at client side as ours is a Software testing company i am getting very much problem while processing with salary as attendance of the employees working at client side can not be measured & we have implement MIS where employees have to fill up the the in & out time they worked at client side but it dosent worked out Can any body guide me on this question that how should i overcome this problem?

Hi Sreeram,
you can implement TimeSheets for ppl working onsite. You can implement that at the end of each week they have to get the form signed up from the reporting manager(client's) for each day no of hours worked onsite.
You can make it in excel and e-mail it to your employees.
Simple format
your company name, name of employee, employee code, Department he worked, dates, no of hours, total number of hours and in the end signed by the client's manager whom they are reporting to.
This way you can also track for the people working overtime and can charge the client in case overtime is paid by the client.

Thanks alot for your guidance but can you tell me if the people is at client site & client is based in other cities / country so how to keep track on that ? should i make the soft copy sent by the employee as a valid proff ?

Hi SJ,
I wouldn't advise you that, there will be a loophole in case every employee will send his own TimeSheet, you will never ne sure that they were really present at the site for the mentioned number of hrs as per time sheet.
It has to be cross-verified by someone senior and whom you can rely to that he will not mislead the company , isn't there anyone they are reporting to at the site?
if there is no one else present at the site who can verify there presence then there is a system to install an electronic time entry system, every employee has to swipe his card and give his thumb impression everytime they are coming in and going out of the premises.This will be a bit expensive.
At the end of each day a report is generated from the server calculating exact no of hrs employee was present inside the premises.
Alternatively you can put incharge anyone from the team members ( preferably the team lead) with an additional responsibility to give you a mail stating the presence of all the employees present at a particular time everyday (for eg if reporting time is 9.30, you can ask him to provide you a mail everyday by 9.45 giving a grace period of 15 minutes)
if you have doubts relating to their total no of working hrs you can ask the report at evening time instead of morning prepared by the team lead, only he should mention the time in and out of every team member
