Hi All,

I am confused about this thing... please suggest. Do we have to state all the HR policies of the company in the appointment letter itself? If so, the appointment letter will go on and on for pages... or can we give an appointment letter mentioning only the required details, and then give the new joiner an employee handbook that explains all the policies in detail?

Please advise.

Hi Anu,

According to our company norms, what we do is we give the appointment letter with some major policies mentioned in it. The rest of the company policies would be sent through mail for their referral.

Dear Anupama,

Please mention the mandated HR policies in the appointment letter and brief him on the rest during HR induction. For example:
- Termination
- Compensation
- Retirement
- Probation
- Number of Leaves
- Office timing policy
- Appraisal
- General ethics/Code of conduct

Include all of these in the appointment letter and brief him on the remaining details during induction.

Dear Anu,

An appointment letter, as its name suggests, provides detailed information about employment terms and conditions, including basic salary and other compensation benefits, termination, retirement, probation, leaves, office timing policy, appraisal, rules, and regulations.

Additionally, policies such as IT Policy, travel and telephone reimbursement, PC/laptop usage, and other policies should be communicated during the induction process.

Appointment letters shall contain the basic information and the terms and conditions of employment. This includes the Date of Joining, Grade, Designation, Salary, and incentive/variable pay, probation period, confirmation, extension of probation, notice during probation, notice upon confirmation, performance cycle and eligibility, variable pay eligibility, clause regarding transfer to other locations of the company, hours of work, past record - if any false information is provided, the individual is liable for termination, leave (as per the company rules), PF, Code of conduct, confidentiality, and conditions regarding breach of any terms of appointment.

You can refer to the detailed policies and processes in the employee handbook and provide a hard copy/link to the intranet where the handbook is uploaded for reference. It would be advisable to have a confidentiality agreement and IP Rights agreement signed as an annexure to the appointment letter. Issue a salary breakup as an annexure to the letter.

As an HR professional, I totally agree with Nitika; you have to mention only the basic information necessary for a new employee, terms & conditions of employment. The rest can be disclosed through mail or during the induction time.

You can include the major points collected from the policies and mention them in the appointment letter.
