Dear All,

I work in a company where we have 11 employees who sit in the office and work. We are tired of telling them to come within 10 AM to the office, but no one is following the same. Even a couple of times, a strict email has been sent, but it has been of no use.

I do not wish to deduct their salaries as it will be too much deduction, and they will receive a very low salary. Please suggest some ideas that can encourage them to come to the office on time.

Apart from sending emails, you can find out the root cause of their late coming. Is the area where you work in the heart of the city or away from the city? Are there traffic jams, or is it just because of employees' indiscipline? What is the average age group of your employees?

Secondly, I think the following techniques will help:

1. Talk to employees about it and share your concerns regarding how work is affected, etc.
2. Your senior personnel (top management) need to arrive at the office 15 minutes before the official start time and observe who is arriving late. This will indirectly pressure employees who come late, and they will start coming on time.
3. Even if you do not want to deduct their salaries, warn them with a circular that management will now be taking strict action such as deducting their payment (You do not have to do it immediately; observe the positive changes in employees' behavior even if you only declare about strict action/deduction).

If you observe a drastic improvement in their punctuality, give them the opportunity to build on it further; i.e., do not resort to deductions as deducting salaries should be a last resort.

You have not mentioned whether you have implemented an attendance punching system. If not, please install a small biometric system which can serve the purpose. Discuss with your seniors about granting some grace time (in a day/month). If your employees exceed this grace time, you may resort to an appropriate deduction from their salary; however, a prior notice needs to be exhibited on the notice board.

To start with, you can open a latecomer's register. If any person reports to the office after the stipulated time, they may have to come to your table and make entries with their signature in the latecomer's register. You will find some improvement if you resort to the above procedure.
