Firstly, you need to send an email to all your employees regarding the booking of tickets. They need to inform you at least 10 days or 2 weeks in advance for train and air tickets as this depends on availability.
Send a format to all employees in which they provide you with all details such as Name, Age, Sex, mode of travel, their eligibility, their reporting officer's approval, and the date of traveling.
Next, contact a travel agent to book your tickets through them.
