Thanks for the reply. I work in a security company, which is a Danish company. It's mainly about providing manpower, such as security guards and armed guards.

As an HR Coordinator, I would like to understand the roles and responsibilities. Currently, I am mostly involved in HR operations, focusing on fieldwork. This includes visiting our top 15 clients to address any grievances and resolve any issues found, as well as enhancing employee connections. This is the current scope of my role.

Hello Rahul, it seems you have earned a break as an HR Coordinator, good! But I have some questions:

1. What is your background? I mean, have you done any formal course in HR, as your query gives me a little doubt?

2. Do you want to consider this as a job or a career?

The two are different. A job would mean that you do something to earn some money to make a living, whereas if it is a career, you'll be wanting to seriously learn all aspects of the area you are working in, by getting into the depths and understanding every nut-and-bolt aspect of the profession.

Anyway, without wasting too much time and not being faulted for sermonizing, I would share with you what I see as the role of a Human Resource Coordinator.

The Human Resources coordinator is a hands-on representative of the Human Resources department whose job is to help facilitate all basic Human Resources functions. The coordinator works immediately beneath the Human Resources manager or director but does not ordinarily supervise anyone directly. With diverse yet substantive job responsibilities, the Human Resources coordinator works with both current employees and new hires, making this a key position within a company. In short, it is essential to facilitate all aspects of developing the Human Resources Department in the organization you are in.

As a Human Resource Coordinator, one of the primary responsibilities is that you will be called on to perform many different tasks that allow the human resource arena to function properly. You will need to help maintain accurate records, coordinate recruiting procedures, process resumes, coordinate interview schedules, and help conduct reference and background checks.

In my experience, most of these HR titles reflect the type of HR work they perform more than a hierarchy within a particular structure.

For example, an HR coordinator and HR generalist can be either management or staff; the difference is their role within the organization. A coordinator or generalists refers more to their overarching responsibility in regard to HR activities. An HR generalist would have a working knowledge in all aspects of HR and you would find this type of position in smaller organizations where your HR staffing is limited. An HR coordinator is similar but in an even smaller organization.

An HR coordinator's duties are both multifaceted and challenging.

They require strong communication skills, with the ability to build positive working relationships. I list out a few here, though not in any particular order but important indeed:

- Listening/Hearing/Talking: ability to hear normal speech, speak and hear on the telephone, and speak in person. The most important thing though is "listening" with not only your ears but your heart and soul too.
- Communicate effectively in oral and written form.
- Understand and carry out oral and written directions.
- Establish and maintain cooperative working relationships.
- Work effectively under stress.
- Stamina/Endurance/Mobility: ability to sit for long periods, move about an office, stand occasionally, reach above and below desk level.
- Smartness/Dexterity/Finesse: An all-rounder with sufficient keyboard operation skills, handle individual papers, write and take notes, and in case you are asked to make a small speech, presentation, etc., do it with confidence and poise.
- Visual Requirements: close vision sufficient to read files, documents, and computer screens and do close-up work; ability to adjust focus frequently.
- Emotional/Psychological Factors: ability to make decisions and concentrate; frequent contact with others including some public contact; frequent deadlines and time-limited assignments.

Things that you should be wanting to learn:

- Applicable policy, operational procedures, and requirements related to processing of employment transactions; various bargaining contracts, and other guidelines for processing such transactions, pertaining to human resource management programs.
- Techniques pertaining to human resource management systems.
- Methods, procedures, and techniques of organization and planning.
- Effectively and efficiently plan, organize, and coordinate personnel management action programs.
- Plan, organize, and implement a variety of personnel management operational functions.
- Strong organizational and administrative abilities.
- Coordinate with Payroll Coordinator to initiate payroll transfer or leave balance adjustment applicable to the circumstance.
- Ability to oversee the preparation and processing of a variety of complex administrative appointments and retroactive appointment changes.
- Maintain the security and confidentiality of specified records and information.

Having said all this, I would say please make reading a habit - it could be business books, about the industry in which you are working, biographies, business successes, leadership, etc. Keep yourself up-to-date on things happening within our country and the world outside.

Learn something new every day, share something new with someone every day. Keep a personal record of the daily progress you make as a professional as an individual.

This is the race of your life and that you are competing only with yourself, and remember not to compare yourself with anyone in the world on any aspect.

Conclusion: The guarantee of your future is non-existent. No one will create a future for you; in fact, you have to carve it out for yourself, by learning, and building your knowledge, skills, competence. You will need to create opportunities for growth by being a standout. When anyone interacts with you, make an impression in a manner that you'll not only be noticed, but will be wanted, promoted, respected, and celebrated. Today you may be a beginner, but who knows you could be a "superstar." Be inspired, Amitabh Bachchan is a shining example of this fact.

Dear Rahul,

With addition to our experts' advice, I would like to define a few key points for you. Actually, the competency level of an HR Manager and an HR Coordinator is the same, but there is a significant difference in the nature of their work.

Generally, some organizations do not prefer to take on the responsibility of HR issues and would rather focus on their primary goals. In such situations, they opt to outsource HR-related activities to consultants or third parties. At this stage, the duty of the HR Coordinator is to communicate with all parties for various reasons such as recruitment, payroll and payments, PF, ESI, professional tax, labor issues, canteen, vehicle management, housekeeping and pest control, hygiene and sanitation, training and development, etc.
