Hi everyone,

We have recently introduced the access card system in my company to track login and logout timings. However, the issue we are facing is that employees are not using their access cards properly. I am looking to establish some strict rules to improve the system in our organization.

Could you please assist me in formulating the rules for access card maintenance?

Dear Pranavi,

You can make a circular and communicate to all the employees that "now your attendance will be marked on the basis of punching your cards. If he/she forgets to punch their card, attendance will be marked as absent. So, be careful. Your salary will be disbursed based on this."

You can write like this in the first month. Maybe you will face some problems in regularizing these activities, but gradually it will be strictly followed.

Dear Pranavi,

I agree with the view of Puja. Currently, we have been following the same process in our company for the last 10 years. In this process, sometimes the machine does not record the punch. For this issue, you need to prepare a missed punch report, and the concerned person should get it approved by the competent authority. After receiving approval, you should manually enter the punch in the attendance system.
