Today, due to globalization and fast communication, many employees expect a laptop from the company. The company should provide laptops to facilitate better business practices and increase the pace of communication. Could anybody help me with providing a laptop policy or guide me?

Hi,

This is Amanpreet Bedi. Every company follows different kinds of policies depending on the type of business they are in. I am working in a chemical manufacturing company, and we have come up with the following policy for LAPTOPs:

1) We have different cadres of employees: E1, E2, CL1, CL2, CL3, CL4.

- E1 includes Assistant/Typist.
- E2 includes Secretaries.
- CL1 includes Executives, Sr. Executives, Officer, Sr. Officer.
- CL2 includes RM's, Asst Manager, Manager.
- CL3 includes Sr. Manager, DGM, GM.
- CL4 includes VP/Chief Executive.

2) Depending on the above cadres, we have decided on various policies:

3) We provide Laptop facilities to CL1 cadre onwards.
4) We have set a finance limit of 35000.
5) If the cost is 35000, the company will pay the entire amount to the vendor.
6) Now, out of this 35000, the employee has to return 50% to the company.
7) So the contribution will be 50-50.
8) 50% of 35000, i.e., 17500.
9) Employee's contribution is 17500.
10) Employer's contribution is 17500.
11) Out of this employee’s contribution, 50% of 17500, i.e., 8750, will be paid as a down payment by the employee to the company.
12) The remaining 50%, i.e., 8750, can be divided into 12 equal installments that can be deducted from the employee's salary.
13) So it's a 50-50 contribution.
14) The main thing is that the laptop will belong to the company for a period of 3 years.
15) If the employee leaves the company before the completion of three years, then either he/she has to pay the difference amount or submit the laptop to the company.
16) This is also a good scheme to maintain the attrition rate.
17) If the laptop costs more than 35000, then the additional amount will be paid by the employee.

DESKTOP/ LAPTOP POLICY

Objectives:

To standardize usage of Desktop/Laptop.



Coverage

All regular Employees, full-time Consultants of DS Constructions Ltd. and its associate Companies.

Guidelines



1)Eligibility

a)Desktop -All Executives and above working in the Office.

b)Laptop - All General Managers & above.

Note: - On need based, Laptop can be provided to other Employees on Special Approval by MD/Chairman.

2)System Details

To ensure uniformity, following systems of Desktop/Laptop will be purchased:

a)Desktop

MakeIBM or Equivalent Brand

Configuration Hard Disk 80GB

RAM 256 MB

Processor P-4, 2.79 Ghz (Intel)

Price Ceiling Rs.40, 000/-

b)Laptop

Make HP/IBM/Equivalent Brand

Configuration Hard Disk 80GB, RAM256 MB, Processor Centrino, 1.6 Ghz , (Intel) Price Ceiling Rs.50, 000/-

Note: - 1) For procurement of systems of configuration other than the configurations mentioned above, Special Approval of MD shall be required.

2) The price for Desktop and Laptop as mentioned above are exclusive of taxes and cost of other accessories such as UPS, Printers, etc., and can vary („b) 5% due to variation in the CMP of the product from time to time.

3)Process

a)Requisition duly approved by the HOD should be sent to HR-Head.

b)HR-Head after approval forwards the same to IT Department for procurement of system.

c)IT Department will mention the Inventory of all the Desktops/Laptops department-wise and name-wise.

d)A copy confirming the receipt of the Laptop to be maintained in the Personal file for record.

e)At the time of Full & Final Settlement of the Employee, concerned Employee shall obtain NOC from IT Department.
