Dear Anupam,

Thank you for attaching the letter format used in your organization for employees who stop reporting for duty or are absent. However, the format of the letter leaves much to be desired. The "Clause 7" of your appointment letter may not correspond to others. Moreover, due process must be followed. Here, it has been "assumed" that the employee has left the organization without any follow-up of his absence.

Additionally, the company property involved has not been mentioned - whether it is an office stapler, stationery items, water cooler/fridge, laptop, mobile/SIM card, or a substantial amount of cash.

Overall, the letter gives the impression of trying to browbeat or frighten an employee into submission, reflecting the 'people policy' of the organization.

The line property belonging to you is not appropriate. Instead, 'property given to you for the better implementation of your duties belonging to the Company' is a better phrase.

In the case of abscondment:
1st step shall be asking the employee to resume,
2nd step is to issue a Charge sheet to the employee, and
3rd Step is to issue a Termination letter.
