Hi, I want a format for a laptop issuance or SIM issuance letter for an employee by the employer. I have to prepare a letter for employees stating that this property is being issued to them by the employer; it's a kind of undertaking.

I am enclosing herewith a sample letter format as per your requirement. It is not necessary to obtain any undertaking form from employees since the company's property is generally handed over to permanent employees only.

I too agree with Mr. John. The querist members are not having a pleasant approach to this forum, as they should understand and realize that this forum contains the most senior and experienced contributing members who are sharing their opinions by virtue of their skill and experience in the HR field. I have not seen a single instance where someone thanked this forum after their problem was solved. It is very pitiful.

The wording used for "Handing over" may not be appropriate, but I feel it should be an issue of the assets of the property. An acknowledgment for having received the asset from the employee is a must, either on the duplicate copy of the letter or by a separate acknowledgment letter or even in the issue register of the company. At the end of each financial year, this item will be taken into asset value, and inventory shall follow.
