Dear all,
I am a student specializing in HR. I am doing a project on competency mapping in the corporate office of a popular textile company in my place. Few of the employees refuse to cooperate with me in filling the questionnaires. They feel that my project will affect their job. Today morning all of a sudden few employees started to shout at me for no reason. I was humble and I tried my best to convince them. But they were not ready to listen. I was completely broke and did not know wat to do. to But now I think I should have handled the situation better. As this was my first experience I don’t have any idea about how I should have carried it:?: Can anybody tell me wat I should ve done or share your experiences about how you handled such problems...

Dear,

This is your project, and in this situation, there can be unrest in the factory. Until they recognize you, they will not cooperate with you. You are new to that organization. Seek help from HR for the questionnaire. Never write a name on the questionnaire. No one should know who has filled out this questionnaire; do not ask for workers' names.

If you identify them, they may not provide correct information or oppose it because they fear for their jobs.

Hey Janani,

To add up to Mr. Malik, it's the way you put forward your questions. Ensure that the language you use is participant-friendly. You will never get a direct response from any employee, even if you are an HR within the company. It is difficult for you to get a response.

Please remember to remove the name and personal details section from the questionnaire. Also, you can seek help from the managers in the organization to get your work done.

Thank you for the suggestions, sir.

Although the questionnaire is confidential, I have found that some individuals discuss it with their fellow employees (I am conducting a 180-degree assessment, which includes superiors, subordinates, peers, and end users) while filling it out. Furthermore, many of them seem to complete it just for the sake of doing so, rather than with genuine commitment. Is there a way to enhance the efficiency of my project?

Dear Janani,

Please explain your project to them, and nothing should be put in writing with them. You should only ask some questions and fill it out yourself; this is a specific project where you need to fill in all the entries. Nobody is going to ask about the filling of entries by you or by the employee.

Let me know the textile unit name. I have been to most of the textile units, and I can provide some assistance for your project. I have good connections with some of the biggest textile manufacturers and export houses.

Anyway, today is Sunday. Why are you working on this day? You should take a rest at least one day a week. Do take some time for your planning as well.

The management and the HR department support me a lot. They want to get this project done. However, I can see an obvious difference when I approach the employees directly versus when some other senior person accompanies me. They look at me as if an alien traveled all the way only to put them in trouble. I don't want to complicate things by taking it to the heads. I think I should try to explain the staff more clearly about the project and its importance.

Note: One of the officials knows that I am posting in this forum, and I am strictly told not to reveal the name of the company.

Hey Janani, yours is not a peculiar situation. Any kind of performance assessments is always looked at sceptically by employees, and textiles being a traditional sector, such assessments will be new to them.

Usually in such situations, you have to try getting the support of the opinion makers in the group (Union leaders, informal leaders, etc.). Explain the objective of the assessment to them, get their buy-in. Support from HR is not going to help because HR represents the management in any company.

This happens not only if you are a student, dear. In most places, people are reluctant to give you information. Needless to mention about the Textiles industry - I am working in a textiles group, so I know the pain involved (even though I am working here, people deny to give info I require).

SO - I empathize with you.

Regarding project work - don't worry about people shouting at you. You need to get your project work done. Just let them know that it is the company's requirement (Management's requirement) and you have been chosen to do that task.

If time consumption is the problem, seek 30 minutes of their time on a particular day - when it's possible for them, for giving information for their survey. It's not only your project work - it's also the HR department's requirement.

A small piece of advice - going forward, once you start working, you will come across many such scenarios. It is not your fault if someone can't take the responsibility of giving information that you seek, which will benefit the company too. Stick to what you have planned. Many of them will shout at you, but don't take it to heart; they are just seeking excuses - never let them go away without having completed the task you have assigned them. No emotions should override your work responsibilities.

look for a good and cooperative person in your organisation.....
help them by providing ur innovative ideas.....
prove that your topic is not harmful......
make some friends and ask them questions.....

This may be your first industry project for which you require a questionnaire, but for the employees, they may have come across numerous project trainees and questionnaires.

First, be confident and learn the pattern of the people there. It's not that all 100% of people are behaving in the same reluctant manner. Approach soft-spoken people first. Before directly handing them your questionnaire, discuss the importance and the outcome of such projects with them during lunch and breaks. Your questionnaire should reflect the help you need, not be a huge task for them (maybe someone shouted at you due to this). Prepare a list of the people, divide them into groups, and select accordingly.

Once some people have filled out the questionnaire, encourage them to persuade their fellow members too. It should feel like a task to them but one of good sharing.

Most importantly, first build a small bond with them. Why would people favor you and share their thoughts before having a good thought-link with them?

It's not only the HR department you will seek help from; help yourself too. If possible, review your questionnaire again; think from the perspective of an employee, not an employer (number of samples, target people, number of questions, subjective-objective questions ratio, etc).

Don't worry; everyone faces such problems. Please feel independent, involve HR but to a certain limit. Avoid approaching people during their peak working hours. Be humble.

You can also complete your questionnaire through verbal interaction with people and later record it on paper for some people.

You should introduce yourself first and spare some time to become aware of the culture of the organization. Keep patience as they are busy with their work and may get irritated when someone asks for their personal opinion regarding their organization, boss, satisfaction level, etc.

I mean you should first make them comfortable and aware that you are doing your project for your study purposes, not for their organizational development. I know that your precious time may go to waste, and you have very little time to spend on your project, but you don't have other options. If they are not cooperating with you, you cannot complete your project at all. Also, prepare a declaration mentioning that you will not disclose their name to the organization regarding their feedback.

Hope your project will be completed on time.
