The best way is to find a good HRMS software and use that. There are lots of posts on the forum about HRMS, search and check which one suites you.

You can create an Excel sheet for it if you want, only for the joining formalities. Also, you should include the basics like his/her post, date of joining (DOJ), date of release (DOR), roles and responsibilities, salary offer, and appointment letter. I think Google Docs can help you with that. Additionally, you can search for samples for the same.
