In my organization, we have assigned employee IDs to employees. However, due to certain difficulties, we now want to rearrange and reallocate employee IDs to our employees. Can anyone suggest the process and impact of undertaking this exercise? Additionally, please advise on where else we need to communicate about the change in employee IDs of existing employees, such as the PF office, ESIC office, or any other relevant departments.

Dear Friend,

Firstly, you need to understand why you want to change the IDs already given. There may be a little difficulty as you have to convince the employees with justifications; otherwise, no hassles. The process involves changes in the employee master sheets, employee records, personal files, identity cards, and attendance records/biometric machines, etc. Please note that no mention is required in EPF, ESIC as their codification numbers are different.

Rightly said by Mr. Venkat, there is no need to inform any external body as codification depends on Aadhaar and UAN. However, if we consider that you have made changes in your internal database, even a small error can cause a blunder. Therefore, I suggest that it should be avoided, unless done with great care.
