Hi,

I believe you do not require any software for maintaining attendance details of only 30 employees. However, if it increases to 100 plus employees, then you can surely consider attendance software. You can create an attendance register to mark daily attendance of 30 employees for physical records. Along with that, you can create an Excel sheet for auditing monthly attendance records, which you can update on a weekly basis by email confirmation from reporting managers regarding their team's attendance.

Thank you for your help, Akash. I have many questions regarding the HR field. I am the first HR in this company, so where should I start and how should I proceed? Please let me know.

1) Initially, where should I start?
2) What documents are required?
3) How can I manage payroll for 30 employees using payroll or Excel?
4) What challenges are there, like PF, ESIC, and statutory forms required?
5) What policies do I need to create in the company?

It would be very helpful if you could provide me with the answers.

Regards,
Swathi

Hi,

First, you create a Master Data Sheet which includes all employees' data such as Aadhar Name, DOB, Address, Gender, Phone Number, and every other detail in one sheet. Create an Attendance sheet Excel copy to make things easier and also a salary sheet in Excel format.

If you have more than 20 employees, you need to acquire a license depending on your industry. According to the industry requirements, you must maintain records like Muster roll, Wage report, Leave register, Accident report file, etc.

Hi Swathi,

Are you the only SPOC? Wasn't there any senior HR/Admin personnel handling policy matters before you joined? You should discuss with the director regarding leave policy, office etiquette, behavior expected from all employees, appraisal system to be implemented as per employee grade, notice period policy as per employee grade level, exit process system, etc.

You need to plan employee engagement activities to keep employees motivated, such as games, trips, feedback sessions, dance, or yoga sessions.

All the very best to you.
