One of our employees (who is a contributing member of EPF for almost 8 years) has a discrepancy in his date of birth. According to the EPF A/C, his DOB is 03/09/1981, but as per Aadhar and PAN, it is 01/09/1980. This mismatch is preventing him from linking his Aadhar to his A/C. He is attempting to change the DOB in his EPF A/C to match his Aadhar details. Despite our employer's approval for the change twice, it has been rejected by the field office on both occasions. When I personally contacted the EPF department, they explained that due to the more than 1-year difference in the DOB, approval without valid documents is not possible.

I must highlight that the employee does not possess any valid documents such as a Birth Certificate or Board Certificate to verify his DOB. Consequently, he is encountering challenges in updating his DOB in Aadhar to match the EPF A/C. He is now requesting us to close his current EPF A/C and open a new one based on his Aadhar data. However, this action would result in the loss of his seniority as an EPF member and could impact his retirement benefits. Can you provide me with guidance on how to address this issue effectively for the employee?

Hi, You can prepare joint declaration format and submit it to the EPFO office with supporting of Aadhar and Pan card copy for change in DOB. This will suffice.
