Hi,

Can anyone share with me the folder structure for maintaining company documents as per ISO standards for BPO? It has separate folders for process documents, operational data, reports, reviews, etc.

Thanks,
Romi

Maintaining a well-organized folder structure aligned with ISO 9001 standards is crucial for effective document management in a BPO setting. Here is a practical guide to structuring your Quality Management System (QMS) folders:

🔍 Main Folder Structure
- Create a central repository for all QMS documents to ensure easy access and management.

🔍 Process Documents
- Dedicate a folder specifically for process documents outlining standard operating procedures (SOPs), work instructions, and process flowcharts.

🔍 Operational Data
- Establish a folder to store operational data such as performance metrics, key performance indicators (KPIs), and data analysis reports.

🔍 Reports and Reviews
- Maintain a separate folder for various reports, audits, reviews, and evaluations conducted as part of the quality management process.

🔍 Training and Competency
- Include a section for training materials, competency assessments, and records of employee training sessions related to ISO 9001 compliance.

🔍 Non-Conformities and Corrective Actions
- Allocate a folder to track non-conformities identified during audits or reviews, along with documented corrective actions taken.

🔍 Policies and Procedures
- Ensure there is a dedicated folder for company policies, quality manuals, and procedures that outline compliance with ISO standards.

🔍 Internal Audits
- Organize internal audit reports, findings, and action plans in a separate folder to facilitate continuous improvement and compliance monitoring.

🔍 Document Control
- Implement a robust document control folder to manage version control, document approvals, and distribution lists effectively.

🔍 Records Management
- Set up a folder to maintain records of quality objectives, performance reviews, customer feedback, and other relevant documentation for compliance verification.

By structuring your QMS folders according to these guidelines, you can streamline document management, enhance transparency, and demonstrate adherence to ISO 9001 standards in your BPO operations.

Remember to regularly review and update the folder structure to ensure alignment with evolving business needs and ISO requirements. 📂🔍
