Dear (Employee's Name),

At the outset, we appreciate the services rendered by you to the institution so far. You have always been ready to extend your contribution to various initiatives of the institution. Your role in organizing industrial visits, external trainings, and support to entrepreneur cell programs is noteworthy.

As per the superannuation policy of the institution, employees attaining the age of 65 will be superannuated, and thereafter, their services will be utilized on a mutually agreed basis.

Since you have attained the age of 65 as of (date), you will be superannuated on 31st July 2016.

The HR department will guide you on the superannuation process, such as withdrawing PF benefits, handing over, and clearance.

We wish you a happy and peaceful retired life.

Thank you.

Yours sincerely,

HR Manager

Hi Bhavan,

Kudos to you for posting a draft and seeking opinions. This is very rarely seen in our forum, where most people look for instantly ready answers. You deserve appreciation and a gentle pat on your back. I find that the draft is OK. Should you need more information, please try Cite HR archives. Type "Superannuation letter sample" inside the box "SEARCH" that you see in the title bar above and then press the enter key. You will get plenty of information. Good luck.

V. Raghunathan

If you are very keen, you can add "the" in the first sentence so that it reads, "We appreciate the services..."

Since you have attained the age of 65 as of ......................., you will be superannuated on 31st July 2016.

Kindly amend it as follows: You will be attaining the age of 65 in the month of July; therefore, you will be superannuating on 31st July 2016.

The part stating "and thereafter their services will be utilized on a mutually agreed basis" can be removed and discussed separately with the employee.

The focus should solely be on the upcoming superannuation.

If the employee is required to submit any forms for PF, insurance, commencement of handing over duties, etc., please specify the deadlines by which these should be completed.

Dear Mr. Neyim Khan,

Thank you for your response. Since the superannuation policy has been finalized and recently implemented, it was not included in the appointment letter. Therefore, I could not reference it.
