Hi seniors,
This is Surendar. I am doing my HR internship at ABC Company in Chennai. I need advice on this. Actually, ABC Company has given me a task to organize a campus interview in my college (only for undergraduate students) on their behalf. However, they will not be assisting me, and at the same time, they have assigned a team of two internship students like me to support me.
Update and plan regarding this Campus drive:
1. I have obtained prior permission from my management and my principal.
2. We have finalized the date in January 2015.
3. First, I will provide a briefing about ABC Company, job designations, CTC details, etc.
4. Following that, we will conduct a written test for the students (this interview process is followed by ABC Company).
5. After the first round, we will issue call letters to the selected candidates for the final round (HR Interview at ABC Company).
6. The final round will be held in the first week of February at the company, and the HR interviews will be conducted by HR at ABC Company.
I seek advice on the following:
- I am very confident in organizing the campus drive for my college without the help of staff from the company.
- However, I am not comfortable with my communication skills when addressing a large group.
- Am I moving in the right direction?
- What should I do and not do during the drive?
- Is my plan for this campus drive okay?
Thank you.

Hello Surendar,
At the outset I specifically wish you a Happy New Year and also wish to record my appreciation for the way you have presented the background and lastly your queries. It shows a clear thought process. You are certainly in the right direction considering that you are a fresher. The post needs some fine tuning in grammar and spelling corrections. I once again applaud you for stating the facts and then asking your questions.
You get ready with the following list.
1.0
What will be your role and responsibilities in this process vis a vis that of ABC company. You have indicated some. You need to magnify them and break it into easily identifiable tasks. For example- question paper for the test - when will you get it, how will you keep it confidential. If the papers will be brought by ABC representative, then have you told them the number of question papers required? Who will get the answer sheets, if they are separate? Duration of test, number of supervisors required, mode of intimation to all students ( by notice board or public announcement in a morning prayer etc)
2.0
Addressing people is tough task even for many of the experienced people. If you cannot speak extempore, gather your thoughts and put them on paper. You can read it. Absolutely no qualms about it.
3.0
About the DOs and DONTs - based on the above, put the ideas and the process on a paper and get it verified by ABC well before the written test.
4.0
ABC Company has asked you to conduct the tests and initiate the selection process with a view of testing your abilities. So be ready for it. Your action will be under their observation.
5.0
CTC details are very important besides the other information about the employment in ABC. Make you sure you have everything in writing (given by ABC) and it should be authentic.
6.0
If you cannot answer any question related to employment, make a note of it with an assurance to the person who raised it, that you would get the reply from ABC Company.
7.0
From now on, whenever you make a new draft read the draft that you have made to look for spelling and grammatical mistakes. For example some of the correct usages are ...’my Principal’ ...,
....’we have finalized the date’......,.....’is OK or not OK’...... etc.
Good luck to you

Good approach. The only request is to add a powerful PowerPoint presentation to the group, which will help you overcome your fear. In the second stage, small group discussions with your colleagues as observers among the participants to filter out candidates for the final interview would be helpful.

Thank you, V. Raghunathan, for your valuable advice. I will get the question paper (150 copies) with the answer sheet (4) next week from ABC Company. Additionally, I need to obtain some written documents (which contain job descriptions, CTC details, etc.) from that company.
Thank you for correcting the spelling mistakes and grammar in my post. I am facing some grammar issues, but I hope to improve my grammar soon.
Vatsal Yajnik, thank you as well. I will also try to include a PowerPoint presentation, and if possible, I will attempt to add a video presentation about ABC Company.
