I am pleased to know that you are managing HR works for 1000 employees in Bihar. You need the Holiday List-2015 and HR Policies. The Holiday List is provided above. You may select National and Festival Holidays as per your company's policies and local customs.
For Continuous Processing Plants/Establishments for uninterrupted work, I suggest providing 2 Optional Holidays along with proposed National and Festival Holidays. This ensures there is minimal manpower needed to manage essential services like Production, Electricity, HR, etc. Since most employees may not observe all festivals, when one set of employees from one community takes holidays, the other set can work and vice versa. This adjustment helps minimize manpower requirements to suit shift needs and avoid overtime or work stoppages due to holidays.
PERSONAL INFORMATION CHANGES NOTIFICATION (P.I.C.N.) - FORM:
Most HR Departments have personnel files on all employees with Company Application/Bio-Data Form and copies of certificates for Date of Birth, Qualifications, Experience, Salary, Performance Appraisal, etc.
However, it is often found that many employee details are not up to date, and essential information is missing when urgently required by HR. This includes:
1. Present address for sending notices
2. Details of nominees to notify in case of death or accident
3. Marital/dependents details
4. Verification of latest qualifications
As the above information may have changed since the last submission of the Bio-Data during joining, these details need to be collected using the above form in December to update personnel files by January.
With 30 years of experience in HR, Industrial Relations, Legal, and Administration departments of 6 Manufacturing Companies, where I set up HR departments, framed Standing Orders, Leave Rules, etc., my company is now closed. Hence, I am providing HR consultancy services. I have all policies, procedures, and formats for various HR functions for easy adoption.
When framing HR policies, the HR Manager needs to draft policies after receiving details from the General Manager/Managing Director regarding the Company's profile, vision, mission, objectives, total manpower required, positions, levels/grades, salary bands, benefits, facilities, etc. The HR Manager needs to inquire with the GM/MD about:
a. Which policies are to be adopted
b. Whether the HR Manager should draft them or hire a consultant and initiate as approved by GM/MD
For large companies with over 100 employees, it is advisable to hire a consultant with over 20 years of experience in labor-intensive manufacturing companies/establishments, who has dealt with various HR situations. The consultant must frame policies that align with the interests of the company and its employees while complying with labor laws, considering similar companies in the vicinity. HR policies significantly impact the company's reputation as a model employer, as well as its employees' morale and retention.
