We have a plant in the outskirts of Mumbai at a very remote location. What are the initiatives that can be taken to enhance employee productivity? Currently, the productivity is so low that we have to hire additional manpower, which results in high manpower costs. Please suggest certain initiatives to increase output.

Dear friend,

You have not provided adequate information other than "low productivity." Why is the productivity low? Who has analyzed the reasons, and on what parameters have these been analyzed?

What is the finished product? What is the optimum capacity of the plant, and what is the present output? Is there sufficient demand for the product? Is the inability to meet the demand due to the low productivity of the labor? What is the scope for automation or mechanization?

By the way, is the leadership of the plant head ineffective? Is there excessive interference from top management in routine matters? Is there nepotism?

Productivity analysis is a complex subject, and you need to delve deeply into the systems and processes of each department. You cannot solely focus on the systems and processes of the operations department.

Please contact me if you would like to discuss this further.

Dear Anonymous,

There are specific reasons why productivity is low. The only people who know are the individuals with low productivity.

If you listen to their complaints, suggestions, and questions more than enough to satisfy their need to be heard, and respond to those to the satisfaction or better of the originator and any other affected employees, even if it means telling them why they cannot have what they want, productivity will start to rise. The more you do this, the more productivity will rise.

Management's responsibility is to support employees tangibly with such things as training, coaching, tools, material, discipline, direction, planning, and information, and intangibly with competence, confidence, morale, trust, peace of mind, ownership, autonomy, commitment, and pride. Since the productivity of your employees is low, management top to bottom is obviously not providing high-quality tangible and intangible support.

If you want to better understand the above, why it is true and how exactly to do it, contact me. I managed people for over 30 years and learned how to do the above to a very high standard and after that enjoyed huge gains in productivity, over 300% per person.

Best regards, Ben

Dear Anonymous,

You are saying that productivity is low, which means earlier it was high. If this is the fact, then you have to find out what the reasons are that have reduced productivity. Based on these reasons, you can identify and address them, and motivate the workforce for better productivity. Arrange training programs, cultural and sports activities, welfare activities, etc. This will enhance your employees' sense of belongingness, which, in turn, will help improve productivity. For setting productivity norms, you may seek assistance from the Productivity Council. They conduct Time and Motion studies for establishing production norms. You can also set production norms based on machine cycle time, among other factors. Please make an effort to motivate the workforce; this will benefit you in the long run.
