Recently, I have joined as an HR in an IT firm, which is a private limited company. They want to keep the leave policies simple, so they have established just two categories for now: 1) Leaves for which employees are paid and 2) Leaves for which employees are not paid. Employees can take one leave each month without a deduction in salary. We aim to restructure the leave policy in a way that limits employees from taking more leaves while keeping it simple as it currently stands.

Does anyone have proper documentation on this topic? Your help is appreciated.

Hi,

While I fully agree with Saji's views, I suggest maintaining the following types of leave:

1. Earned Leave: to be calculated at 1 day for every 20 days of work, up to a maximum of 20 days in the subsequent calendar year - as per the Factories Act.
2. Maternity Leave as per the provisions of the Maternity Benefit Act.
3. Casual leave, which may be limited to 7 days in the calendar year.

Perhaps this meets your requirements.

Hi,

Thank you for your replies. I will try to incorporate these points into our policy. One more thing: Management aims to restrict unnecessary leave usage. For example, we operate on a 5-day work week system, with Saturdays and Sundays completely off. Sometimes, employees from out of town take extra leave on Fridays and Mondays to extend their time off.

Our salary calculation is based on working days, which amounts to approximately 22 days. For instance, if a person's salary is $10,000, the pay per day would be $10,000/22 = $455. Any leaves that are not paid for are deducted accordingly.

How can we address this issue effectively?

I would suggest the following:

1) Give some incentive to the employees who have not taken any leave in a month or the last 3 months to increase the presence of employees in the company.

2) Keep the office atmosphere lively and tension-free so that employees enjoy being in the company.
