We are quite aware of the fact that each of us has been receiving quite a lot of communications from EPFO (Employees' Provident Fund Organization) on the introduction of UAN (Universal Account Number) for the members of EPFO. There are also notifications and a UAN Manual to this effect. Recently, EPFO's officials also sent emails to employers to undertake "Seeding of KYC" on an urgent basis.
Though "Seeding of KYC" is not a very complex procedure, as employers, we should also look at the challenges we would face in the implementation of UAN. UAN is a welcome change; it would improve governance in the EPFO and minimize paperwork in the long run.
So, the next question is what action are we supposed to take? What is Seeding of KYC? How to complete this error-free and with minimal effort? UAN wants employers to authenticate all KYC documents. How to implement this? What happens if employees do not submit KYC documents on time? How to handle employees who do not have access to the Internet or are not tech-savvy?
Risk of Digital Signatures and Privacy issues: What would be the process for New-Joinees? In large organizations such as yours, how would you ensure being fully compliant with these requirements?

I appreciate your question, Tina. Yes, the UAN will be beneficial to individuals as well as organizations.
1. UAN would be attached to an employee as an identity.
2. You can change jobs without worries of PF transfer, which takes minimal time with UAN.
3. Most importantly, your PF contribution cannot be withheld for any reasons by the employer.
4. The history of employers is visible only to the employee; however, it requires mapping with the UAN. Otherwise, it is not visible to anyone.

Dear Sir,
Some of our employees are unable to sign, have not opened their bank accounts, and do not have an Aadhar card, etc. How should we fill up their records? We are receiving mobile calls requesting completion of the data on a priority basis. Can we send the details of those employees whose records are up to date, and submit the records of the rest of the employees later?
We are hopeful for an early response.

1) For those who don't have the account details and Aadhar card details, etc., we definitely need to get at least one particular ID number and update the same for their record.
2) Yes, you can upload partly for those employees for whom you have details in the first slot, and then after receiving the rest of the details, you can upload the remaining information separately.

Dear Sir,
Recently, we received a letter requesting the upload of employees' salary details for those earning more than 6500/-. We prepared the details including salary, HRA, conveyance, and other allowances. However, when we tried to convert this information into the ECR for uploading, the system did not accept it.
We have made several attempts to contact the PF office's EDP department, but unfortunately, they have not been responsive and do not answer our calls.
Could you please assist us in uploading this data? It would be beneficial for others facing a similar issue.
