Requesting your guidance on this: We have engaged some employees who were using old IPs (about which our previous HR wasn't aware). As a routine procedure, we have generated new IPs. However, due to having two numbers, they are facing issues obtaining Smart Cards and accessing benefits. The regional ESIC has advised us to continue using the old IP and transfer contributions from the new number to the old number with approval from the Regional Directors or Joint Directors. Could you please suggest how we can insert the old IP number under our employer code? What is the process for this?

Hi,

The process is, first, you need to check if they are registered under ESIC before generating a new IP. If they are, ask for their IP number. Go to "Insert IP Details" and enter the IP number there. You will need to provide the joining date from your establishment, not the old one. This will retrieve the details of their family members who were previously registered. You can edit those details and print the temporary card.

If you mistakenly generated a new IP, transfer the contributions from the IP without a smart card to the IP with a smart card. You can transfer the contributions in either direction (from old IP to new IP or from new IP to old IP). This is important because if the contributions are transferred to the IP with the smart card, the individual can smoothly avail the benefits.

No problem. Please draft a letter to the Regional Director/Joint Director to merge contributions and any other necessary changes. They will take the necessary steps, and don't forget to cc the ESI Branch Office.

It's better to surrender the new card to the ESIC regional office and request the employer to make necessary changes in their records. Send a request through the employer to make necessary changes in your IP number and contributions to the ESIC regional office.

Hello seniors,

I have a query; kindly sort it out.

We have an employee who had the old ESI number and left the job. After some time, when he rejoined our organization, he did not inform our personnel executive about his old number.

Due to a misunderstanding, we created another TIC for him. When he went to the ESI local office for a photo, the ESI personnel informed him that he could not avail another ESI smart card because he had already taken a photo with the previous ESI number. They advised him to contact HR promptly to cancel the new ESI number and provide a written statement for the transfer of his 5-month contribution from the new ESI number to the previous one. Additionally, he was asked to insert his previous number with effect from his new D.O.J.

I prepared all the paperwork for the transfer of contributions from the new ESI number to the previous one and submitted it to the ESI local office. I also paid the 50 rupees fee for issuing the smart card on the old ESI number of the employee.

In this regard, I have a question for you seniors: how can I check online if his new ESI number contributions have been transferred? I tried searching on the I.P. Portal for employee contribution history, but after 4 months, it is not showing on the I.P. Portal. I also contacted the ESI local office personnel, who confirmed that they had transferred his contributions to the old ESI number a few days ago. However, when I checked the I.P. Portal employee contribution history, there was no record of it.

Could you suggest if there is an option on the online site where I can verify if the ESI personnel have transferred his contributions or not?

Dear Vikas Khatter,

Please check your portal and IP Portal to see whether the contribution has been added to your IP account. If not, please contact the regional office.

Before obtaining the insurance number from the portal, ask your employee if the ESIC number is available or not. It may be in written format, which will be beneficial for you in the future.
