Hi All,

I am an HR manager in an IT company. Recently, we organized a recruitment drive and selected candidates from there. One of those candidates has left our company without informing anyone, and when we tried to contact her, she did not answer our calls. We have sent her official emails to compensate the company for premature termination, but we also want to send an email to her college so that such incidents will not be repeated in the future.

I need your help to write an email to her college. Looking forward to your response.

Hi rims_prisha,

You could draft a formal email highlighting the unprofessional (unacceptable) behavior of the student as well as your efforts to reach out to her. Have you tried reaching the candidate on the landline number? Did you try to find out if some untoward incident has happened?

Finally, I would suggest you to draft the email and then upload it for corrections. All the citehr members would be glad to help you.

Thanks for your reply. Yes, we have tried to contact her on all numbers provided by her, but later on, we came to know that she joined an institute for further higher studies. This kind of behavior is not acceptable. I am attaching the draft email for you all to review and advise accordingly.

I am writing this email to inform you that the company had come to your institute for campus placement for the recruitment of final year B.Tech students and selected four students from your college, one of them is --------------------. -------- joined our organization on -------- and was regular till ---------- but had abruptly been absent since --------------. We have tried to contact her numerous times only to find her given contact number not being responsive.

We are informing you about it so that you are also aware of this incident and can take the necessary action at your level to eliminate such incidents in the future, as it shows real unprofessionalism which is not acceptable at all.
