Hi,
Please advice can an assistant manager- admin sign all the HR related letters like appointment, promotion, increment, warning etc.
Is the verbal authorization enough to sign these letters or should we give authorization in written. If so , please can you forward a format for the same.

You can only sign any official papers if you have required approvals from the relevant heads ie Head HR and your function head also if you have a job description which clearly specifies your level of authority.
Do not sign any paper in absence of clarity as you are representating your organisation to the outside world on signing any such document.

Hello,
You can sign only those official documents on which you have a prior approval from your HR head or if something which is mentioned as a part of your job description in writing.
Please do not sign the document without authorization in written.

Hello Shweta,
Any person who has to sign any letters on behalf of any one, has to get a written authorization from the concern person for whom he/she is signing on behalf.
Without a written authorization, any signatures, notices, circulars, memos, etc will not stand void or valid.
If it is in regards to the HR Department, get an approval from the HOD-HR and an authorization from the employee for whom you are signing on behalf.

i think an approval from HR head or the immediate superior is very much required for different issues.but it should different for verbal and written from matter to matter. sidharth

Dear Friend,
Kindly do know HR roles and responsibilities at first. Other than HR professional nobody has the right to sign in/interfere in HR related aspects but in most of the small organizations Admin. fellow is getting involved in HR related assignments which shows their interference which ought to be given up.

Hi, The person who has to sign the letter related HR functions must have the written authorization from the head of HR department.

Guys, Head HR is different from Head of HR - Remember that... Again who ever give you permission, the person for whom you are signing behalf has to authorize...

There are standard operating procedures (SOP) for all HoDs and the necessary instructions / guidelines of functioning or JD must be included in the Manual of SOP.
That should specify the detailed job description of A.M HR and to the current level of authority followed in all companies, an Asst. Manager HR cannot sign appointment letters, it should be signed by Hod only.
Meaning Head-HR, VP-HR, Manager-HR etc.
