Hello, We have appraisals of employees in the month that they join, but we want appraisals to standardize appraisals & it should happen from Apr-Mar every year.
Please help me with a template and procedure for the same, so that we can pro-rate the salary.

You could have given a little more information about the nature of your industry, your company's finished product or service, the number of employees etc. Additionally, we also need to know on what attributes the appraisal is conducted. Is it only on the behavioural attributes or functional attributes or both? Anyway, my suggestions are as below:
a) Instead of monthly or yearly, you may conduct the appraisal in October and April of every year.
b) For the employees who join in the months of February to August, their first appraisal will be done in the first week of October.
c) For the employees who join in the months of September to January, their first appraisal will be done in the first week of April.
d) The points mentioned from (a) to (c) above, may not be applicable for the measurement of certain costs and ratios associated with the department(s). The HOD needs at least 8-9 months to bring a change. Therefore, for them, the measurement may be done after a year or even slightly more than a year. For example, if the purchase manager joins in the month of January. Then it will not be possible for him to increase the Inventory Turnover Ratio (ITR) just within three months. Therefore, measurement of ITR may be done in October or even April of the next year.

How to bring the employees who join in months other than January under our regular appraisal cycle (Jan to Dec)?
For e.g let us say an employee joins our organization in May 2021, his first year appraisal will take place in Apr or May 2022. How can we bring this employee under our regular appraisal cycle?
One option I can think of is to assess this candidate again in Dec 2023 and compensate with arrears for the period May 2023 to Dec 2023. But the problem here is If an employee joins in Feb, he has to wait for like 10months to get his second appraisal. Kindly help on this. Very very confused.

Complete the first appraisal at the end of one year of service, so that the employee gets sufficient time to get adjusted to the new system of evaluation. This will help in deciding about the suitability of the employee for further retention in service. Thereafter fix a short performance cycle upto the end of the current calendar year. Thereafter they can join the regular performance cycle alike other employees.
