Hi Team, I am looking for an email format or a notice that can be sent to an employee who sends an email to management team stating that he/she no longer wish to continue working and to accept this email as immediate resignation.
As per policy, we cannot accept immediate resignation and this will be considered as a abscond case with no further F&F or service letter will be provided. I want the employees to resign by serving proper 30 days notice period and not abscond.
Kindly assist me with a email format stating the same and in case there is any pending salary amount for the days worked till date, it will not be released and marked as recovery amount.

Just write your notice telling them what you have told us. It's that simple.
It's just a simple notice, not a great novel, so just stick to basics and keep it simple.
If you are uncertain, write the notice and then submit it here for comments by others.
As for wanting employees to resign according to a "process", then you are bound to be disappointed. Not everyone will obey rules unfortunately, and sadly, you will have to live with that problem, however unacceptable you find it.

You can send warning letter through RPAD and also through email. As the employee left without information and emailed that he is no longer interested to continue the probabilities of he continuing is remote as per my opinion. You may use the following:
Dear Mr./Ms.
Ref : Your email resignation dated_____
It is observed from our Attendance records you are not reporting to duty with effect from________without any information to your superior. The above Act of yours is a very serious misconduct as per the rules and regulations applicable to this Organisation. Your sudden absence from work without any information had caused a big hardship to your team. Meanwhile to our surprise vide your email dated____you had emailed your resignation expressing your inability to continue and to accept the same with immediate effect.
Please note that as per the terms and conditions of your appointment order dated____ mutually agreed and signed by you, you are supposed to serve proper notice of ___ days in case if you are not interested to continue with us. However you had conveniently absconded from duty and later had emailed your resignation which not acceptable. Your resignation through email is not accepted.
You are hereby directed to report to office and submit proper resignation letter in person and serve proper notice period. You are hereby advised to report to office on or before____ failing which it will be presumed that you are no longer interested to continue /to serve proper notice and we will be constrained to proceed with termination of your employment without any further notice and in case of such termination, your full and final settlement dues will be forfeited against your shortfall in notice.
