In our company, one person has joined as a trainee. He joined past two months back. But still he didnt submit his certificates. I asked him to submit on or before 26th of June 2010. He said he is not getting his certificates from his previous company. His M.D. is not in station. So its making delay. What shall i do now? please suggest me.

Dear ravi, Ask him to give the acknowledgement copy for the certificate sbmission in previous company.

Xerox copies can be taken but not as a record unless it is checked with original.
If original not submitted, his qulification can be maintained as per latest orginal certificates seen and not as what he has given in CV at the time of joining. Trainee period may be extended till.

Wat u mean for certificate ? it is his educational certificate or previous employer certificate like releiving letter, experience letter etc.
You may clearly warn him to submit the document in required period. Also make pressure on his immediate reporting authority.

- Firstly inform your immediate boss or HOD about this.
- After consulting your boss you can inform the Trainee to submit the documents say within 5 days or he will have to leave the job or he will be terminated. You may give him option of again joining your services, whenever he is able to produce the documents.
- Also look at the another aspect in this case. It seems that, concerned trainee is not formally relieved by his previous employer and that is the reason he has not got back his documents. But I do not approve the practice of retaining original documents by employer. It is illegal, unethical and unprofessional.

Well first you need to inquire about his past employment because as he is not submitting his certificate seems to be some fraud or something is suspicious, there is something fishy in it.

If the empoyee fails to produce the documentary evidence for his being relieved from his
previous employer, and also fail to produce academic certificates, please elevate the
issue to your DH and also HOD of the concerned dept. where the trainee is working to
take appropriate action.( as it is 2 months old and may be the employee must have furnished false information )

Well I would like to suggest you to simply discuss the issue with the HOD and let him know verbally that in case he did not submit his documents with in a prescribed time line (say 5 days), his salary would be withheld.
For future, I would propose that make a Hiring Policy and make sure that the employee comes to the HR with his original documents for verification along with xerox copies for personnel file after the establishment of offer letter but prior to the appointment letter. This way your time will not be utilized asking employees to submit their documents. Also, this is not the only job of HR. All the best.

My experience says the candidate is a fraud. he has provided incorrect information in his CV. If he is a performer in your organisation and can help your company grow, please send him an e mail in consultation with your senior that he would not be eligible for confirmation of services and any increments if associuated with his confirmation, if he dose not produce the certificates. This way you put the ball in his court.
OR
Ask him to take his own time to get the required documents in order to be eligible for any paid leaves.

Dear Buddy,
Please give him time for 1 week and ask him to submit the documents on a particular date otherwise talk to him and ask for resignation before that you must consult your seniors. In between you cross check with the previous employer and the academic institutions.
