Dear Prashant,

Please check my following reply to previous post. You will get lot of KPIs for the stores. Based on this, you can make the KRAs

https://www.citehr.com/446398-how-st...ml#post2012813

Secondly, I have some observations against your JD. My comments are given in italics.

Roles & Responsibilities :-

1 Preparing GRN

2 Daily Stock updation

Yes, accepted both the above.

3 Daily Sales Report Updation

Why stores will do this job and why not sales? Other members may comment on this.

4 Prepaaring reconcillation statement vedorwise, customerwise,

Why stores will do this job? Preparation of vendor-wise statement is Purchase's job and preparation of customer-wise statement is sales department's job.

5 Preparing Sales Invoice

Stores has got nothing to do with sales invoice. You may click here to know more about sales invoice.

6 Vehicle arrangement for dispatching finished material

7 Issue material to different departments

Agreed for both the above points.

8 Checking & verifying transporter's bills.

Why stores will do this job? Why not purchase?

9 Maintaining consummabel items

10 Maintaining Records of - RM, WIP, FG, Consummables

Point No 9 overlaps with point No 10. I have small query here on point 6 also. Do you have only one stores personnel who takes care of raw material and finished goods also? In big companies, warehouse assistant takes care of finished goods whereas for raw material and other consumables, stores is there.

Final comments: -

a. Maintaining inventory accuracy is No 1 challenge. If that is achieved, everything else becomes secondary.

b. In your JD, you have not written anything about ABC Analysis, FSN Analysis, stores layout, safety and security etc

c. Another important ratio for which stores is responsible is "Inventory Shrinkage Ratio".

d. Mere graduation as qualification is not sufficient. I recommend you employing someone with DMM as well.

e. Many times stores professionals feign ignorance on how to calculate "Inventory Turnover Ratio" (ITR) and calculation of "Inventory Carrying Cost". They should know how to do this also.

I have given above comments without knowing much about your business. What is the area in Sq Ft of your stores? How many persons work there? What software do you use?

Ok...

May I know what you do and the size of the copany you work for? What experience do you have in general and in the present organisation? What effort have you put in finding information before seeking help of seniors at CiteHR?

Dear Dinesh Sir,

I have made my comments below:-

1 Preparing GRN

2 Daily Stock updation

Yes, accepted both the above.

3 Daily Sales Report Updation

Why stores will do this job and why not sales? Other members may comment on this.- We are having Team of 3 people to look after Purchase, Store & Dispatch

4 Prepaaring reconcillation statement vedorwise, customerwise,

Why stores will do this job? Preparation of vendor-wise statement is Purchase's job and preparation of customer-wise statement is sales department's job. - Because this person reports to SCM Manager ( who does purchase also )

5 Preparing Sales Invoice

Stores has got nothing to do with sales invoice. - Dispatch person reports to Ezecutive - StoresYou may -click here to know more about sales invoice.

6 Vehicle arrangement for dispatching finished material

7 Issue material to different departments

Agreed for both the above points.

8 Checking & verifying transporter's bills.

Why stores will do this job? Why not purchase? - His reporting authority is SCM Manager

9 Maintaining consummabel items

10 Maintaining Records of - RM, WIP, FG, Consummables

Point No 9 overlaps with point No 10. I have small query here on point 6 also. Do you have only one stores personnel who takes care of raw material and finished goods also? In big companies, warehouse assistant takes care of finished goods whereas for raw material and other consumables, stores is there.- So overall SCM Department consist of 01 SCM Manager , 01 Stores Executive, 01 Junior Executive Stores. SCM Manager reports to Plant Head

Dear Prashant,
Good that you clarified. Some time we will discuss this on Skype or on phone.
In near future I will conduct public workshop on "Strategic Procurement" at Lonavala and Hyderabad. You may nominate your SCM Head for this workshop. He will derive lot of value from this workshop, that is for sure.
You may click here to download the workshop brochure. If you find difficulty in downloading then you may download the attachment.
Thanks,
Dinesh Divekar
